The selected provider will provide all applicable city and/or county departments with the provision, installation, and maintenance of an account maintenance system. There is a possibility more than one vendor will be selected for delivery of bulk
fuel. Minimum qualifications include three years experience in maintaining
fueling systems and operating an electronic
fuel monitoring system. Bidders shall bid a cost plus basis. All city and/or county departments are exempt from federal excise tax and state sales tax. The city/county reserves the right to reject any or all proposals. All proposals must be submitted in a sealed envelope. Additional documents required:
fuel specification sheet, noncollusion affidavit, nonconflict of interest familial disclosure form, Indiana legal employment declaration, equal employment opportunity statement. The contract will be for a three-year period, with the ability to extend for an additional three, twelve-month terms. The relationship between the city and any vendors successful in obtaining a contract is that of city and independent contractor. The vendor will be solely and entirely responsible for its acts and the acts of its agents, employees, and servants during the performance of a contract. The city/county reserves the right to cancel any contract which includes escalation clauses. Proof of insurance is required. Bidders must comply with all applicable federal, state, county and city laws, ordinances, and regulations. The city/county reserves the right to reject any and all bids, to waive any informality in bids and, unless otherwise specified by the bidder, to accept any item in the bid that is in its best interest. The city/county considers keeping trade secrets confidential. Sample of items, when required, must be furnished as stipulated herein, free of expense, and if not destroyed will, upon request be returned at the bidders expense. Protest procedures are outlined. Bidders must provide documentation that they are enrolled in and participating in the everify program. The city of Evansville is exempt from federal, state, and local taxes.
