All uniforms specified, both summer and winter completely new, shall be delivered within thirty 30 working days after the signing of the contract.

Billing will be on a monthly basis. On or before the first day of each month, the contractor must submit to each individual department receiving uniform rental service, a voucher using the towns standard form, for service provided in the preceding month.

The contractor warrants and represents that it is an equal opportunity employer. Garments which do not fit properly must be replaced with those of proper fit at no additional cost to the town. Any garment beyond repair, whether cleaned by bidder or not cleaned by bidder, must be replaced immediately, at no additional cost to the town.

An award will be made to the lowest responsible and responsive bidder.

Only qualified bidders who have adequate experience, finances, equipment and personnel will be considered in making awards, based upon qualifying data submitted with the bid proposal.

If the successful bidder fails to maintain adequate service to the town at all times during the period of the contract, the town of ramapo reserves the right to purchase these services elsewhere, and any excess cost to the town must be absorbed by the successful bidder.

Bidder shall submit with his bid, as a sample, one 1 complete set of garments to be furnished. A bid will not be considered if it does not comply with this requirement.

No bidder may withdraw hisherits proposal within fortyfive 45 days after the date set for the opening there for, but may withdraw hisherits proposal at any time prior to the scheduled date for the opening of proposals.

If the contractor, any officer, director or any party holding a controlling interest defined as five 5 percent or more, or in the case of a corporation any stockholder owning five 5 percent or more of the outstanding shares is convicted of a crime, excluding class b and unclassified misdemeanors as defined under the new york state penal law and its equivalent in any sister state or under federal law related to the subject matter of this agreement or if a related or affiliated company, partnership or corporation is convicted of a crime, excluding class b and unclassified misdemeanors as defined under the new york state penal law and its equivalent in any sister state or under federal law related to the subject matter of this agreement, after this agreement is fully executed, the town shall have the right to terminate this agreement without penalty.

Delivery is required on or before August 31, 2026.

Some items mention specific warranties, such as a 5 year warranty against breakage for certain Cambro bowls and mugs, and a lifetime warranty against rust corrosion for New Age dunnage racks. Specific warranty details for all items are not explicitly stated in a general clause.

Award will be made using the lowest price technically acceptable LPTA evaluation method considering technical capability, past performance, and price.

Vendors must be actively registered in SAM. gov at the time of quote submission. Technical documentation for any equal items proposed is required.

Submitting partial quotes will result in disqualification, as all 94 line items must be quoted. Partial quotes will not be accepted.

The due date for bids is July 27, 2026, at 2:00:00 PM.

The contractor shall deliver all items within the timeframe stated in the bid documents. For specific delivery locations, items will be delivered to the Henderson Fire Department at 332 Washington Street, Henderson, KY ****, and after construction completion, to Henderson Fire Station No. 1 at 540 2nd Street, Henderson, KY ****.

Payment shall be made upon receipt of a properly submitted invoice and satisfactory delivery of uniforms and related items, as determined by the city.

The contractor shall replace any item determined by the city to be defective in material, workmanship, sizing, or appearance at no additional cost to the city. Equipment shall be fully functional and free from defects upon installation.

The contract shall be awarded to the responsive and responsible bidder whose proposal receives the highest overall evaluation score and is determined to be in the best interest of the city. Bids will be evaluated on the basis of lowest bid price or lowest evaluated bid price.

Responsible bidder means a person who has the capability in all respects to perform fully the contract requirements, and the integrity and reliability which will assure good faith performance.

If the successful bidder fails to perform the services in accordance with the bid documents, the city may require corrective action, withhold payment for unsatisfactory performance, terminate the contract, or procure services from another source and hold the contractor responsible for any additional costs.

Failure to comply with the instructions to bidders and all other applicable sections of the bid package may result in the bid being deemed nonresponsive. Unsigned bids may be rejected as nonresponsive. Failure to submit any required enclosed document may result in rejection of the bid.
