Proposals must include organization legal name, tax ID, physical address, representative contact information, itemized pricing, cut sheets, specifications, brochures, warranty details, proposed start/completion schedule, insurance requirements, non-appropriations and indemnification obligations. Proposals will be reviewed and awarded at a meeting on 09/18/2025 at 1:00 PM ET. The successful organization will be formally awarded and publicly announced at a later meeting. Pricing must remain valid for 60 days from the proposal opening date. Organizations may be invited to participate in the final selection process following the review and screening of all proposals. Contracts will be reviewed and amended to ensure compliance with county legal requirements. All agreements or contracts requiring signature must be submitted in Microsoft Word format. Insurance requirements include professional liability, workers compensation, comprehensive general liability, and motor vehicle insurance. Proposals are subject to public review and cannot include proprietary, confidential, or restricted information that conflicts with New Hampshire's right to know law. Rockingham County reserves the right to accept or reject any proposals or parts thereof, select the proposal deemed to be in the best interest of Rockingham County, and waive any formalities in the bidding process.

The equipment must meet specific performance requirements and be from approved product lists. Delivery must be completed within 60 days of order receipt, with a 5-day notice to government officials prior to delivery. Delivery will be to building 447 in the restricted area, to rooms S114 and S124. The delivery driver must pass a background check. Items will be inspected upon delivery.
