Bid submission deadline is 2:00 PM CST on August 21, 2025. Bids must be returned to Texas Parks and Wildlife Department, Attn: Accounts Payable, **** Smith School Road, Austin, TX 78744. The bid is for ten 30-foot external hinged square tapered steel anchor base light poles for Ray Roberts Lake Johnson Branch State Park, Valley View, TX. Vendors must indicate their earliest delivery date or lead time in their bid response. The contract will commence upon issuance of a contract by TPWD and automatically expires upon the delivery date agreed upon and final acceptance by TPWD. The bid must include required information such as the brand name/model, descriptive literature, and delivery time from receipt of the TPWD order. Responses are binding for 60 business days from the bid due date. The state reserves the right to make an award on the basis of low line-item bid, low total of line items, or in any other combination that will serve the best interest of the state and to reject any and all bid items in the sole discretion of the state. The successful respondent will be paid within 30 days after receipt of a properly prepared invoice or the receipt of and the acceptance of goods/services ordered, whichever is later. The unit shall be made ready for continuous operation upon delivery. Shipping shall be f. o. b. destination. The unit prices must include all shipping, handling, fuel surcharges, and delivery fees. The vendor must contact the tpwd point of contact as shown on any resulting contract award or purchase order to schedule delivery date and time. Vendor shall provide one 1 week notice prior to delivery to contact designated on purchase order. TPWD does not have equipment to offload the light poles upon delivery. Poles should be delivered by means and method that does not require TPWD to unload at no additional cost to TPWD. If delay is foreseen, contractor shall give written notice to TPWD and must keep TPWD advised at all times of status of order. Default in promised delivery days after receipt of order without accepted reasons or failure to meet specifications authorizes TPWD to purchase goods and services of this contract elsewhere and charge any increased costs for the goods and services, including the cost of resoliciting, to the contractor. All equipment ordered will be subject to acceptance inspection and performance testing upon receipt. Acceptance inspection and performance testing will not take more than five 5 working days, weather permitting. Vendor will be notified within this time frame of any units not delivered in full compliance with the purchase order specifications. Invoices must show the name of the contractor, Texas Payee Identification Number (PIN), correct remit to address, name of receiving entity, contract/purchase order number, description, quantity, unit of measure, unit price, extended price of each item, total price, discount (if applicable), and attach supporting documentation, if required. Payment normally will be made to the contractor within 30 days after receipt of a properly prepared invoice or the receipt of and the acceptance of goods/services ordered, whichever is later. State agencies are required by state law to pay properly submitted invoices within 30 days, or the contractor may charge a late payment fee established by law. Payments for goods/services purchased with state appropriated funds will be made through state warrants issued by the comptroller of public accounts. Addendum 1 for the Event Tents RFP 2025. The zoo will provide lighting and ventilation. Tents will be anchored to the ground. Ground anchors or concrete ballast may be required. There is no site visit scheduled for this project.
