Contract for processing and removal of brush, log wood, and wood chips for one year with two one-year extensions. Bids are due August 4, 2026, at 3:00 PM. A non-mandatory pre-bid conference is on July 21, 2026. Viewing the materials on site is mandatory before submitting a bid. The contract is based on a fee per cubic yard. Liquidated damages of **** per day may be assessed for failure to meet completion dates. Payment is made within 30 days of invoice receipt, with a 5% retainage. Award will be made to the most responsive and responsible proposal, not necessarily the lowest cost. A performance bond or letter of credit is required.
The summer work in 2026 shall be completed no later than September 15th. If the contract is extended, spring work shall be completed no later than May 15th, and fall work no later than October 31st.
Payment will be made within 30 days of receipt of an invoice for completed work, less 5% retainage. Retainages will be released upon completion of all work and removal of waste.
The award will be made to the most responsive and responsible proposal that meets the specifications on a total cost basis, with terms viewed as most favorable to the town. The lowest cost proposal may not necessarily be selected.
Prospective bidders must be qualified contractors and have personally, physically, and reasonably visited and inspected the site.
There shall be a one hundred dollar (****) per day charge assessed should the contractor fail, due to other than weather conditions, to meet the mutually agreed upon scheduled completion date for each processing season.
A non-mandatory pre-bid conference will be held at 9:00 am on July 21, 2026, at the transfer station. Alternative viewing dates may be available up to two days before bids are due. No bid shall be accepted without a prospective bidder having viewed the brush, log wood, and wood chip piles first.
A prospective bidder may be disqualified for failure to supply complete information, lack of experience, or evidence of collusion among other bidders.
