Delivery is FOB destination and is requested ASAP after notice of award, receipt of purchase order, or authorized calls for delivery. Bidders guaranteed delivery is X days. Delivery time may be a factor in determining the winning bidder.

County terms of payment are 2 10 net 30.

The bid includes various warranty services, including prorated year warranties and 12-month limited manufacturer warranties. Extended labor not included.

Delivery time may be a factor in determining the winning bidder. The county reserves the right to reject any bids that propose a lengthy delivery schedule if the items are required promptly.

The purchasing agent reserves the right before making an award to make investigations as to whether or not the items, qualifications or facilities offered by the bidder meet the requirements set forth herein and are sufficient to insure the proper performance in the event of an award. The bidder must be prepared, if requested, to present evidence of experience, ability and financial standing.

Failure to deliver items or equipment that do not meet county specifications or are not received within the specified delivery time may be cause for cancellation of the order and vendor declared irresponsible. Any additional costs incurred by the county may be charged to original vendor.

Vendors protesting or disputing bid specifications must do so in writing during the bid opening period prior to the due date to be considered. Such protests must be in the possession of the bureau of purchase and supplies three working days prior to the bids opening.

Late bids will not be considered and failure to complete this bid in its entirety may result in disqualification.

Sealed bids must be received by Thursday, June 25, 2026, at 11:00 AM EST.

Payment by the county is made within thirty (30) days after verification and acceptance of invoices presented by the bidder along with any required documentation.

Seller warrants that all goods shall be of merchantable quality, free from defects in material, design and workmanship, and shall be fit for the particular purposes intended.

The bid that best meets, in the county's opinion and discretion, the county's required specifications for the goods to be purchased, considering cost, discounts, transportation, and lifecycle costs, and the bidder with the lowest responsive bid having provided the necessary surety bond.

Bidders must submit bids in accordance with the specified format, including all required forms and information. Bids must be complete and responsive to the ITB requirements.

In case of default by the bidder or vendor, the board of county commissioners and the Greene County Sheriff's Office may procure the articles or services from other sources and hold the bidder or vendor responsible for any excess costs occasioned thereby.

Samples, when requested, are returned at the bidder's expense.

Failure to submit the bid bond, letter of credit, cashiers check, or certified check with the bid will result in disqualification of the bid. Unauthorized communication with individuals associated with the project will also result in bid rejection.

The estimated value is $150,000.

The RFI responder must warrant each device to be free from defects in material, workmanship, and design for a period of two to five years from the time of delivery. Additionally, a software warranty for three years is required. An extended warranty option can be negotiated. The RFI responder must supply a software warranty for three 3 years.
