Event Insurance Government Bids & RFPs

Quotes are due by Thursday, July 30, 2026, no later than 2:00 PM. The vendor will need to remove all materials by noon on the date of the event.

The evaluation and selection process will consider the vendors ability to meet the requirements of this request on a cost-effective basis.

The vendor must provide a description of the company's current insurance coverage and certificate of insurance for specific limits. OCRRA must be named as an additional insured on these policies on a primary and noncontributory basis. The vendor must also provide a key contact person and, if different, a locally based contact.

If you fail to comply with procurement contacts restrictions or you submit knowingly false, inaccurate or incomplete information, or you violate our OCRRA ethics code, you may be found to be a nonresponsible vendor. This can result in a rejection of your firm for contract award, a cancellation of the contract, and in the event of two such findings in a four year period, debarment from obtaining any further OCRRA procurement contract for a period of four years from the time of the second violation.

Delivery quoted must be stated in terms of work days after receipt of the order. The service period is from **** to ****.

Payment discount offer days and terms of delivery are to be provided by the vendor.

Bidders must complete and sign the bid form, including firm name, address, and contact information. The Northern Ireland affidavit and Wage Theft and Payroll Fraud Disclosure must also be completed and submitted.

If a potential bidder does not notify the Division of Purchases and Supplies in advance of the bid opening date of any possible discrepancy, then any such discrepancy or erratum cannot be the basis for a protest of award.

Failure to complete and submit the Northern Ireland Fair Employment Practices Disclosure will make the bidder ineligible for a contract award. Making a false statement on the Wage Theft and Payroll Fraud Disclosure can lead to default and exclusion from bidding for two years.

The order, if any, shall not exceed $8,**** or one year, whichever occurs first.

Proposals must be submitted no later than Thursday, July 16, 2026, at 1:30 PM.

Payment will be made upon satisfactory completion of services. All agreements must be approved by the purchasing department, signed by both parties, and have an approved purchase order in place before services can be rendered and invoices can be submitted for payment.

Alvin ISD shall evaluate respondents and award on the basis of demonstrated competence and proposal to perform the services, and fair and reasonable price and contracted fees.

Once a vendor has submitted a proposal and it has been approved by the board, they are considered a qualified vendor. Additional submissions will not be accepted unless there is a change in pricing or bid categories. Background checks are required for contractors with student contact.

Failure to comply with HB **** will result in the vendor packet being suspended from processing, and no business can be conducted with the company until compliance is provided. Noncompliance with the consultant certification form may result in denial of entry to district facilities and possible contract termination.
