The City of Somerville, Massachusetts is seeking bids for oncall
repairs, replacements, and maintenance of overhead
doors. The work includes
repairs, maintenance, and alterations to various door types in municipal buildings and schools. Bidders are encouraged to visit the sites. The contract will be awarded to the lowest responsible bidder. The deadline for submitting questions is ****, and bids are due on 10232025. The anticipated contract award date is ****, with an estimated commencement date of **** and completion date of 11142026. The contractor must have a minimum of ten years of experience in the business of the
repair and installation of overhead
doors. The contractor must be able to confirm that any and all employees and any subcontractors used for work under this contract can pass a cori check. The contractor will provide written quotes for any and all work costing over 9,999, according to the hourly labor and supply rates included on the price form. Quotes will be presented to the city, in writing, no more 24 hours after the needed
repair is identified. The dpw commissioner or designee must authorize any and all work in writing before work can begin. The contractor will not begin any work for which an approved purchase order has not been issued. Preventative maintenance to overhead
doors at fire stations and the public safety building will occur quarterly. Preventative maintenance to overhead
doors at all other included buildings will occur annually. Buildings may be added to or removed from a preventative maintenance plan via negotiated change order, as needed. The contractor will perform the following maintenance services to each door during each preventative maintenance visit: routine visual inspection, check door balance track alignment, inspect clean visual safety eye failure, check all electrical components, check reversing mechanism, service torsion springs, clean lubricate all moving components as needed, inspect rollers. Within five 5 business days after each preventative maintenance pm visit, the contractor will submit a pm report to the dpw commissioner or designee. The pm report will include, at a minimum, the following information: list of
doors serviced at each included location, adjustments andor
repairs made to each door during the pm visit, list of recommended
repairs identified by the contractor during the pm visit, including any and all
repairs that are too involved to perform during the pm visit or that require the contractor to order additional parts, recommendations for mid to longterm door replacements that may be required within the following twelve 12 months. If the contractor deems a door irreparable, the contractor will alert the dpw commissioner or designee in writing immediately, detailing the condition of the door and any defects that make the door irreparable. The contractor will provide a written quote for door replacement to the dpw commissioner or designee within 3 days of identifying that a door is irreparable. The dpw commissioner or designee must authorize any and all work in writing, including replacement of irreparable
doors, before work can begin. The contractor will not begin any work that has not been authorized in writing by the dpw commissioner or designee, and for which no approved purchase order has been issued. The contractor will be paid per invoice. An invoice will be presented for services performed. This invoice will identify, at a minimum, the work completed, location of the work performed, date and time of the work, dpw personnel who authorized the work, a city of somerville issued purchase order number and the applicable service reports. Additionally, it will detail the unit cost and extended cost for each wagelabor category, contractor cost, applicable markupdiscount for parts andor materials, and costs for equipment rental.
