The City of Traverse City is seeking bids for cleaning services for a three-year period starting July 1, 2026, with options for renewal. Bids must be submitted by Friday, May 15, 2026, at 10:00 a. m. , either sealed or via email. A mandatory walkthrough of all properties is scheduled for May 6, 2026. The city will select bids based on qualifications, ability, experience, equipment, financial benefit, operational suitability, and possession of proper insurance and licenses. No subcontracting is allowed. Payment will be made within 30 days of satisfactory completion of work. Penalties for unsatisfactory service include liquidated damages and deduction of cleaning fees for unlocked facilities. Vendors must provide proof of insurance and references. The contract duration is three years with potential for three one-year extensions.

Payment shall be made within thirty (30) days of satisfactory completion of the work. The city may withhold payment for defective work, damage to city property, or failure to obtain or maintain proper permits and insurance.
The city intends to select bids on the basis of: qualifications, ability, relevant experience, type and amount of necessary equipment, highest financial benefit to the city, operation best suited to provide services desired, possession of proper required insurance, licenses, permits, etc. , and other pertinent factors it may deem necessary.
Bidders must provide proof of all insurance, references, and a completed bid summary sheet. The city prefers companies with at least 25 employees on active payroll for the past three years and those in business for 10 or more years.
Upon unsatisfactory service, the contractor shall be notified, and unless corrections are immediately completed within eight (8) hours, liquidated damages in the amount of **** per separate daily occurrence per issue shall be paid by the contractor. The contractor will also deduct, from the monthly invoice, one day cleaning fee, for each facility left unlocked.
Prior to submission of the bid, the contractor/vendor will be required to do a mandatory walkthrough of each of the properties to be cleaned on May 6, 2026, starting at 9:00 a. m.
The contractor must provide product samples for approval prior to use within the city buildings.
