The City of Dayton, Ohio is seeking bids for court reporting services. Bids must be submitted electronically by November 4, 2025, at 2:00 PM Dayton local time. The bid includes a firm price agreement for office furniture with firm pricing starting 01/12/2026 through 12/31/2026 with a possible option to renew for three additional 12-month periods. All vendors must submit a current copy of their W9 with the bid. The city reserves the right to reject any or all bids. The city is exempt from federal excise taxes and state retail sales taxes. The bid opening will be facilitated using Zoom. The city is seeking bids from highly experienced and professional independent contractors or firms to provide court reporting services on an as needed basis. Contractor shall deliver original transcripts and other prescribed materials to the civil service office within twelve 12 calendar days, or less, from the date of the hearing. When priority delivery is requested, transcripts, or other prescribed materials, shall be delivered within three 3 calendar days of proceedings. The city reserves the right to make the sole determination as to the release of any and all transcripts and copies. A confidentiality agreement must be signed by the selected contractor prior to commencement of this agreement. All prices bid to the city shall include all fees of transportation including inside delivery. Prices quoted will remain firm for acceptance within 90 calendar days after bid opening unless otherwise stated. The city of dayton reserves the right to cancel this order by written notice if the vendor does not fulfill its contractual obligations with respect to timeliness andor quality. The city may, at any time, upon twenty days written notice to the contractor, terminate this purchase order in whole or in part for the citys convenience and without cause.

The period of performance is 180 calendar days.
