Proposals are requested for providing copying equipment service for
graphic arts. Proposals are due by 3:00 PM on Monday, June 2, 2025, and must be submitted in sealed envelopes to the St. Tammany Parish School Board office at 321 N. Theard Street, Covington, LA **** can also be submitted electronically at www. ***. *. * contract period will be 36 months with an option to extend for 12 months. The successful vendor must provide a certificate of insurance within 15 calendar days of award. The vendor must also agree to indemnify the school board for any losses arising from their negligence. The vendor must consent to the exclusive venue and jurisdiction of the 22nd Judicial District Court for the Parish of St. Tammany. Additional forms (proposal information form, affidavit of compliance, and firearm anti-discriminatory act disclosure form) must be completed and submitted with the proposal. The school board will not be responsible for any expenses incurred by prospective proposers. The RFP includes detailed specifications for the equipment, including minimum print/copy speeds, resolutions, paper sizes, and machine configurations. Pricing must be on a cost-per-copy basis, including all maintenance, parts, labor, supplies, freight, transfer, removal, setup, installation, and training costs. The guaranteed monthly minimum copies is 1,200,000. The awarded vendor will be required to erase data from all copiers upon contract completion. The school board reserves the right to cancel the contract if the vendor fails to comply with specifications. Evaluation criteria include cost structure, demonstration of competency and experience, references, technical merit, and clarity of proposal.
