Responses to this source sought notice are due no later than 06/23/2026, 2:00 PM Central.

All equipment shall include manufacturer warranties. The contractor shall furnish support services in alignment with the awarded maintenance and licensing agreements, including technical support, software updates, and preventive maintenance.

Vendors must be responsible and capable of fulfilling the requirements. Responses must include company information, socioeconomic status, and documentation proving the ability to conduct the services offered.

The vendor is required to conduct a site visit prior to task completion. All site visits must be pre-coordinated and pre-scheduled with the contracting officer. Unannounced site visits will not be honored. The federal government will not incur any costs associated with site visits.

Incomplete responses, lack of documentation proving business capability, or failure to answer all questions within the notice may result in the response not being taken into consideration.

The installation of new consoles is anticipated from late 1st quarter to mid-2nd quarter 2027, with specific dates to be determined by the selected general contractor.

Payment terms shall be Net 45 days, effective on the date that the county receives an accurate invoice or accepts the products, whichever is the later date. Payment is deemed to be made on the date of the mailing of the check or electronic transfer.

The vendor shall warrant its product and/or service against faulty labor and/or defective material for a minimum period of ten years after the date of acceptance. Warranty shall be for ten years.

Method of award is best evaluative score based on written response. The county is a best value agency.

Contractors must have been in business for three years under current ownership and provide documentation. They must also be able to produce evidence of an established satisfactory record of performance and sufficient financial support, equipment, and organization.

Selected contractor will be asked to provide physical color and material samples prior to production.

Contacting county employees or evaluation committee members outside of the formal evaluation process, misstating or concealing any material fact in the offer, or failing to strictly conform to the law or requirements of the solicitation may result in disqualification.

The deadline for interested contractors to respond to this sources sought announcement is before 10:00 a. m. PST on June 1st, 2026.

All interested contractors must respond by email and provide their company's socioeconomic status, legal name, Unique Entity ID (SAM number) if applicable, primary point of contact, capabilities statement, and describe their experience in providing telephone operator services. Small businesses must also address subcontracting requirements.

Failure to provide the requested information in response to this sources sought announcement will be considered nonresponsive and will not be considered a viable source.
