Submission of quotes must be received not later than June 15, 2026, at 10 AM EST.

Payment shall be made on a monthly arrears for services provided during the billing month in arrears in accordance with FAR ****, para. i upon submission of a properly prepared invoice.

Award will be based upon a comparative evaluation of quotes in accordance with the simplified acquisition procedures of RFQ FAR 12. FAR ****, evaluation commercial products and commercial services: must meet SOW requirements, price, past performance.

Offerors must complete annual representations and certifications electronically via the System for Award Management (SAM) website.

Noncompliance with any of the terms, or an accidental or purposeful loss of sensitive VA medical records information resulting from AI use, may result in contractor liability to VA for any and all rights and remedies provided by law, including but not limited to contract termination, liquidated damages, and referral to VA’s suspension and debarment committee.

Failure to provide the relevant statement of attestation, to include all of its requirements identified herein, may be deemed a breach of contract and thus, cause for termination.

Delivery timeframe for all items is 60 days ARO (After Receipt of Order).

Payment will be made upon receipt, inspection, and acceptance by the government. Invoices shall be submitted in arrears upon receipt, inspection, and acceptance by the government.

The contractor warrants and implies that the items delivered under this contract are merchantable and fit for use for the particular purpose described in this contract.

Award will be made to the responsible quoter offering the best value to the government based on a comparative evaluation of price, technical capability, service-disabled veteran-owned and veteran-owned small business considerations, and delivery timeframe.

Quoters shall provide a technical capability section that provides enough information on proposed systems to determine features, capabilities, and clearly identifies all required salient characteristics from the statement of need. A lack of information will result in a finding of unresponsive quote or a lower evaluation ranking.

Prospective vendors are warned against contacting any medical center personnel outside the procurement department before the award of a contract. If such contact occurs and is found to be prejudicial to competing vendors, the vendor making such contact may be excluded from award consideration.

The response due date is changed from June 5, 2026, at 12:00 pm EDT to June 12, 2026, at 12:00 pm EDT.

The majority of equipment covered under the relevant contract portfolio carries a standard 12 month warranty.

Delivery is required within 30 days after receipt of order (ARO).
