Request for quotation for printing and distribution management of 20,000 CHNEP calendars and donation envelopes for 2027. Key tasks include printing, proofing, mailing to ~6,000 addresses, shipping to ~80 addresses, and delivery to ~70 locations. Quotes are due by July 21, 2026, 3:00 PM EST. Award will be to the lowest responsive, responsible bidder. Delivery costs are to be included in quote pricing. Postage costs are paid in advance and reimbursable. Signed receipts are required for deliveries. Quality control is critical, with potential discounts for non-compliance.
The deadline for mailing all copies, whether deliveries, shipments, or individual mailings, shall be no later than thirty (30) calendar days from the date the final proof approval is sent by the Project Manager to the quoter. Deliveries are expected to be scheduled on business days and require signed receipts.
All invoices will be paid in accordance with the Local Government Prompt Payment Act **** will commence once task/subtask is complete per specifications and deliverables are approved. A separate invoice will be issued for each task/subtask.
Award of this quote shall be to the overall lowest responsive, responsible quoter meeting or exceeding the requirements of the specifications set forth herein.
The awarded quoter will be performing the scope of work in accordance with all the specifications outlined herein and will possess all minimum qualification requirements.
Reprinting or a credit of at least 10% on the total printing costs may be required if final proofs do not match approved proofs or if there are other printing defects. A 10% discount may be applied if final printed copies do not meet quality standards. Failure to meet mailing, shipping, or delivery timelines or incurring damages during delivery may result in credit from the vendor.
The Project Manager has the right to participate in the quality control process and can visit the printer to approve or reject quality standards.
Quoters shall provide paper samples of specified paper types to the Project Manager with their submittal package for proposed materials.
If the lowest quoter is deemed non-responsible, they shall receive written notice and have five (5) business days from the date of this notice to dispute the determination and provide additional information.
Charlotte County may terminate any agreement if the contractor is found to have been placed on the scrutinized companies that boycott Israel list, or is engaged in a boycott of Israel.
