The City of Dublin is seeking AV production services for the Precinct Black Box Theater at the new Dublin Arts Center, expected to open in Fall 2026. Services may include technical operations, production support, setup/breakdown, and provision of extra AV/lighting equipment. Proposals are due by May 8, 2026, at 4:00 PM PST. The contract is anticipated to begin on July 1, 2026. Key evaluation criteria include responsiveness, company experience, personnel qualifications, client satisfaction, and cost. Contractors must submit an electronic copy of their proposal including a cover letter, company qualifications, references, key staff list, experience with AV systems, and a breakdown of rates. The City reserves the right to award the contract to the company that best meets the RFP requirements.

The City shall make monthly payments, based on invoices received, for services satisfactorily performed, and for authorized reimbursable costs incurred. The City shall have 30 days from the receipt of an invoice that complies with all requirements to pay the contractor. Final payment of the last 10% of the total sum due will be paid within 60 days after completion of services and submittal of a final invoice, if all services have been satisfactorily performed.
Proposals will be evaluated on the following: a) responsiveness to the request for proposal questions, b) experience of the company, c) experience and qualifications of the assigned individuals, d) satisfaction of previous clients, and e) cost of providing the services for this project.
The City is seeking a qualified AV production partner capable of supporting both individual productions and the ongoing operational needs of a municipal black box theater. Demonstrated experience operating permanent AV systems in a theater or municipal facility environment is required.
Failure of contractor to respond to problems referred to it by City within the time limits established in subsection 1. 2 of the agreement shall result in liquidated damages as set forth in exhibit a.
