The training conference is scheduled for August ****, 2026. The hotel must provide up to 55 sleeping rooms per night, with the option to release unreserved rooms on August 10, 2026. Meeting space is required August **** space requirements include one general session room for 60 participants, four breakout rooms seating 10 participants each, and one storage room available august 23 24.

Quotes are due no later than 12:00 PM EST on 9 July 2026. The period of performance is from 7 August 2026 through 10 August 2026.

Payment terms are not explicitly stated, but the contractor shall invoice for actual rooms and meals provided. Payment requests and receiving reports are to be submitted through Wide Area Workflow (WAWF).

The government intends to award to the lowest priced, technically acceptable, responsive, responsible offeror.

Offerors must be registered in the System for Award Management (SAM) and Wide Area Workflow (WAWF). The proposed lodging facility must meet minimum requirements specified in the Statement of Work and may be subject to an onsite assessment.

A government representative may conduct an onsite assessment of the proposed lodging facility prior to contract award to verify cleanliness, safety, amenities, and security.

Protests must be filed within the periods specified in FAR **** can be submitted to Headquarters, AMC.

Failure to submit all requested information, lack of registration in SAM, or submitting more than one offer/quote if a third party may lead to disqualification.

The conference dates are September 23 through September 25, 2026.

All charges for hotel room nights, parking, conference meeting room setup, AV, breakfast, and refreshment breaks are to be direct billed to the United States District Court. All other incidental expenses will be charged to individual attendees.

A fixed price award from this RFQ will be made based on lowest priced, technically acceptable offer.

Property must have a rating of 4 stars or better from Michelin, Hotels. com or TripAdvisor. com. Hotel must have contiguous meeting space, with minimum outside passage and primarily connected corridors to main hotel and guest rooms. Hotel meeting space must be separate from the public space. Hotel must be set back from main streets or highways. Hotel must have a restaurant with seating for up to 100 people within the premises.

If a cancellation or reduction occurs less than 60 days before the date of the event, the contractor agrees to make every effort to resell all the cancelled room block. If the contractor is unable to resell all the cancelled or reduced products or services, the judiciary will be responsible for such amounts that reflect the actual losses sustained by the contractor.

Site surveys may be conducted prior to award to ensure facility meets event requirements.
