The payment schedule is indicative, with final milestone amounts to be negotiated. Payments are tied to deliverables, starting with contract execution and notice to proceed in month 1.

Proposals received after the deadline will not be considered. late submissions proposals received after the deadline will not be considered.

The university shall pay all allowable costs incurred up to the effective date of termination. However, the contractor shall not be reimbursed for any costs incurred after the effective date of termination. The university shall pay the contractor for all services performed to the effective date of termination subject to offset of sums owed by the contractor to the university.

The contractor shall provide warranty information for each product. The contractor hereby warrants that the products and/or services to be provided under this agreement comply with the W3C's Web Content Accessibility Guidelines WCAG 2. 1 Level AA and the Web Accessibility Initiative Accessible Rich Internet Applications Suite WAI-ARIA 2. 1 for web content.

Respondents shall ensure that all information required herein is submitted with the response. All information provided should be verifiable by documentation requested by the university. Failure to provide all information, inaccuracy or misstatement may be sufficient cause for rejection of the response or rescission of an award. Respondents are encouraged to provide any additional information describing operational abilities.

The contractor shall make campus visits as needed on three days notice. The contractor will coordinate campus visits with the university services information and technology department to ensure proper communication and sharing of information related to customer projects.

Any exceptions to the special terms and conditions may result in the disqualification of your proposal, lack of providing the required response or indicating terms will be negotiated post award will result in a zero 0 score for the master agreement evaluation criteria.

The license is for the period of 6/8/2026 - 6/8/2027.

Failure to comply with VA IT security and privacy requirements, including data encryption and incident reporting, may lead to contract termination.

This contract is awarded as no cost, the contractor will recoup all conference costs associated with the preplanning, content logistics, travel in support of the conference, execution and wrapup for each conference in the form of revenue from attendee registration, exhibitor, and sponsorship fees from the conferences, andor other fees collected as payment for performance under the pws.

The contractor shall conduct site evaluations from responsive offerors, provide a trip report of site inspections performed, and provide a summary report of offerors to the cor. The contractor shall perform onsite inspection for lodging, food, and av. The contractor shall conduct final site readiness inspection review meetings.

Proposals must be submitted by July 16, 2026, at 2:00 PM MDT. Late proposals will not be accepted or evaluated.

Payment terms are net 30. Payments will be made no more frequently than once in a 30-day period, with the exception of district credit card purchases. The district will not pay late or interest charges.

A minimum one-year warranty from the date of acceptance is required for all supplies. Extended warranty options and their coverage must be detailed.

The award will be made to the responsible supplier whose proposal is most advantageous, considering price, past performance, financial stability, and technical capability. A scoring system will be used, with pricing (75 points) and responsiveness (25 points) being key factors.

Vendors must have a proven track record of supplying, servicing, and maintaining point-of-sale systems in K12 food service, with strong references. They must also be able to provide onsite service within 24 hours and image devices to district specifications.

The RFP does not explicitly detail penalties for non-performance, but repeated late or missed deliveries may result in progressive corrective action, including contract termination for cause.

A pre-proposal conference may be held, but it is not mandatory. Live presentations are required for finalists at the Student Nutrition Center.

Finalists will be asked to ship one unit for testing by the food and nutrition staff. These physical samples must be submitted in their original standard packaging.

Proposals that do not comply with RFP requirements, late proposals, or proposals from debarred or suspended suppliers may be rejected.
