The School Board of Alachua County (SBAC) is seeking bids for HVACR services for food service operations. The contract involves installing, repairing, and maintaining commercial refrigeration equipment. The estimated annual expenditure for these services was approximately $500,**** in the 2025 calendar year. Bids are due July 7, 2026. The contract is anticipated to commence on August 1, 2026, and end on July 31, 2028. The contract may be renewed for two additional one-year periods.
Payment is anticipated to be made by Visa purchasing card after a properly prepared invoice has been received and processed. Invoices shall contain specific information including invoice number, date, dates of service, service location, description of services, personnel name and classification, and billable hours. Invoices that are received by the district that are not properly and correctly prepared or are not accompanied by support documentation i. e. , work proposal, work time sheet may cause delay of payment.
All workmanship is warranted to conform to project specifications and be of the highest quality, free from faults and defects, for a minimum of twelve months. Materials are warranted to be free from defects for twelve months or the standard manufacturer's warranty, whichever is greater. Should any services be required to be reperformed, such services shall be completed within three 03 business days of notification at no additional expense to the district.
The district anticipates making an award based on a primary low bid and secondary next lowest bid service provider. In making recommendation for award, the purchasing department shall take into consideration the qualifications of the bidders, including relevant expertise, experience, and capacity to perform the requirements as specified herein.
Bidders must be an established firm with at least five consecutive years of experience in HVACR services in Florida, possess a valid Florida Class A air conditioning contractor license or Mechanical Contractor license, and maintain a service dispatch facility within reasonable proximity of Alachua County.
Failure to comply with provisions such as using the e-verify system, providing false certifications, or failing to respond to emergency calls in a timely manner may be deemed a material breach of contract or a default of contract, potentially leading to contract termination.
Bidders may be disqualified for negative references, failure to meet qualification requirements, submitting inflated work proposals on three or more occasions, or failure to respond in a timely manner to emergency requests.
