A flexible cutoff date allows the government to adjust participant numbers up to 72 hours prior to the event without penalty. A final, itemized invoice is required within five calendar days of the event's conclusion. Specific meal requirements are detailed for Friday dinner, Saturday breakfast, coffee break, lunch, and dinner, and Sunday breakfast. A separate, dedicated hotel meeting or banquet room is required for childcare services, with sufficient space for up to 40 children and childcare staff. The contractor shall provide one cleared support person to facilitate activities for minors, with government personnel maintaining line-of-sight supervision at all times. The support person's role is limited to one day (Saturday) between **** and ****, with a lunch break. The conference room must be equipped with a TV and functional ports for government-provided training materials. The contractor must submit a planned itinerary of age-appropriate activities for minors for government review and approval no later than 7 days prior to the event. The government will only be billed for services actually rendered. The contractor's support person shall operate under the equivalent designation of a non-specified volunteer, and a formal background check is not required due to continuous government supervision. Self-reporting of disqualification criteria is mandatory. The government will provide conspicuous red identification for the support person. Technical support for audiovisual systems is also required. The proposed dates are in July and August, with flexibility and the possibility of rescheduling.
