Proposals are requested for moving,
relocation, and
storage services. Proposals must be submitted electronically through the Bonfire platform by September 17, 2025, at 2:00 PM local time. The contract term is anticipated to be one year with options for four additional one-year terms, or month-to-month for up to three months after the initial term. The estimated annual contract spend is $106,**** non-mandatory pre-proposal meeting will be held on August 28, 2025, at 12:00 PM local time. A deadline to receive written questions/inquiries is September 5, 2025, by 5:00 PM local time. The proposer must complete the appropriate pricing documents, submit all requested information, and submit the conflict of interest questionnaire. The college reserves the right to request additional information. All proposals must be valid for 180 days from the submittal deadline. Payment terms are net 30 days. The awarded vendor shall deliver an order within five business days after receipt of an approved purchase order. The contractor must meet minimum qualifications, including being in business for at least 5 years, fully insured and bonded, owning all moving equipment, and able to handle small, medium, and large jobs. All contractor employees must have badges with company name and pictures. Insurance to cover liability for replacement cost in the case of loss or damage is required. The contractor shall be required to provide labor notes for each category showing that the contractor is proposing. These notes must include the contractor's overhead, profit, and the college. Provide the contractor's miscellaneous material markups. If the contractor does not provide this labor classification, mark NA (not available). Provide a description of how the vendor intends to guarantee the performance of vendor's labor, and what benchmark will be used to determine the labor hours for each project. Indicate any list price adjustment the vendor intends on providing during the contract period and on what it is based. For example: CPI, MSRP, price list, website pricing. The contractor's proposal must include all expenses he or she may incur in order to complete the work stipulated under the proposed contract. Any failure of the contractor to acquaint himself or herself with all the available information concerning the above shall not relieve him or her of responsibility for estimating properly the difficulties or cost to successfully perform the work. The awarded vendor shall have an adequate amount of stock to fulfill an order initiated by HCC within the requested delivery window. The awarded vendor shall only be paid for products as they are delivered to HCC in accordance with an authorized purchase order, and receipted invoice. Texas law requires all movers to provide a moving service contract to the college before the loading of any shipments of goods. The contract may be in the form of bill of lading, work ticket, or other receipt. Parties making deliveries to or performing services at the HCC sites must carry public liability, property damage, and worker compensation insurance. HCC reserves the right to reject any or all proposals, accept proposals deemed most advantageous to the college system, and to waive any technicalities in proposing. Each proposer agrees to hold their offer open for acceptance by the college for a minimum of 180 days from the submittal deadline date and time for proposal submission.
