The City of Callaway is seeking proposals for the purchase of water meters and miscellaneous appurtenances. Bids are due by 10:00 AM on August 4, 2026. Proposals must be submitted in writing to the City Clerk. No oral interpretations will be made. The city reserves the right to reject any or all proposals. Payment terms are 30 days after satisfactory delivery and inspection. Defective meters will be replaced or credited. All bids must be firm for 60 days.
Proposals must be received no later than 10:00 a. m. on Tuesday, August 4, 2026.
Payment will be made 30 days after satisfactory delivery and inspection of the product. The city shall determine the quality and acceptability of the product prior to payment.
Encoder registers shall be warranted free from defects in material and workmanship for a period of fifteen (15) years from the date of installation. The items specified herein shall be covered by the manufacturers standard warranty.
The city shall award the contract to the lowest fully responsive and responsible bidder, provided that the city may award the contract to a bidder other than the lowest bidder should it find the lowest bidder does not offer the reliability, quality of service or product afforded by such other bidder.
Qualified firms are invited to submit a bid proposal. Bidders must demonstrate they have sufficient financial support, equipment, and organization to ensure they can satisfactorily perform if awarded a bid contract.
Liquidated damages shall be paid to the city at the rate of $500 per day for all work awarded under the contract until the work has been satisfactorily completed.
Any respondent, proposer or person substantially and adversely affected by an intended decision or by any term, condition, procedure or specification with respect to any bid invitation, solicitation of qualifications or request for qualifications, shall file with the City Clerk's office for City of Callaway, a written notice of intent to protest no later than seventy-two (72) hours excluding Saturdays, Sundays, and legal holidays for employees of City of Callaway after the posting either electronically or by other means of the notice of intended action, notice of intended award, bid tabulation, publication by posting electronically or by other means of a procedure, specification, term or condition which the person intends to protest, or the right to protest such matter shall be waived.
Violation of the provision regarding contacting city officials between release of solicitation and award may be grounds for rejecting a response. Failure to timely execute necessary bond or insurance certificate will result in cancellation of an award.
