The Texas Veterans Commission (TVC) is seeking proposals for a conference facility to host the 2027 Peer Support Coordinators Annual Conference. The facility must provide lodging, meeting space, and audiovisual services for approximately 100 attendees over four consecutive days. Key requirements include a minimum of 300 total direct-bill room nights, accessible guest rooms, a general session ballroom, breakout rooms, and a registration area. Proposals are due August 6, 2026. Award will be based on best value, not solely on lowest cost.
Proposals must be received no later than Thursday, August 6, 2026, 2:00 PM Central Time. Late proposals will not be accepted.
Payment for meeting space, approved meals, and audiovisual services will be made by purchase order. Lodging will be direct billed. Invoices must be complete, final, and all-inclusive. The state of Texas is prohibited from paying gratuities.
Award will be based on best value to the state of Texas, considering pricing, qualifications, experience, location, operational capability, accessibility, vendor performance, and other evaluation criteria. Award shall be based on best value to the state of Texas and not solely on lowest cost.
Respondents must demonstrate the ability to successfully provide lodging, meeting space, and conference services of similar size and scope, maintain sufficient qualified personnel and resources, demonstrate experience hosting large-scale conferences, be in good financial standing, and comply with all applicable laws, including ADA requirements.
Failure to periodically check the ESBD for updates, failure to provide required documentation, failure to acknowledge addenda, submitting late proposals, unauthorized communication, and false statements may result in disqualification.
