Bid submission deadline is May 7, 2025, 2:00 PM, via Dropbox. Questions and requests for additional information must be submitted by April 30, 2025, 4:00 PM. Bidders must provide responses to all qualification requirements, including detailed information about their firm, experience, qualifications, references, financial statements, and potential conflicts of interest. The contract term is anticipated to be for a two-year period with three one-year options to extend. The library will not provide reimbursement for any costs or expenses incurred in connection with the bid. All material submitted becomes the property of the library. Bid prices must be held for at least 180 days from the submission date. The bid includes detailed scope of work, including monthly and bimonthly service pricing, additional services, and emergency services. Specific library facilities and their service requirements are listed in the pricing sheet. Bidders must comply with all federal, state, and local pest
control operator requirements and regulations. The successful bidder must be certified by Green Shield or Eco Wise or an equivalent deemed acceptable by the library. The successful bidder must also be in compliance with EPA, NYS DEC, NYC Local Law 37 rules and regulations and manufacturers label instructions. The successful bidder must provide a pest sighting log book for each facility. The successful bidder must also participate and assist with training for library custodial staff. The successful bidder must be able to provide comprehensive remediation services for outdoor vegetation pests, termite baiting and rodent proofing. The successful bidder must perform an initial evaluation of all facilities at no cost upon award of a contract. The successful bidder must inspect pest vulnerable interior areas and exterior of selected facilities. The successful bidder must provide reporting and documentation including visual survey results, pest infestations identified,
control measures taken, and recommendations. The successful bidder must maintain all records of consultations, inspection findings, pest
control actions, monitoring results and recommendations for the duration of the contract. The successful bidder must be in compliance with all federal, state, and local pest
control operator requirements and regulations. The successful bidder must ensure that all of its employees have been trained in the hazards associated with the chemical exposures for any services associated with this bid. The successful bidder must provide safety data sheets (SDS) information and manufacturer information forms for all products used. The successful bidder must obtain prior authorization from the library for all potential products to be used. Any new products that the successful bidder may wish to use during the term of the contract must be approved by the library. The successful bidder shall be responsible to perform work in such a manner so as to limit interference with library public service operations. The successful bidder shall maintain sufficient stock of materials necessary for execution of the work under this bid or shall have ready access to materials so as not to delay the performance of work. The successful bidder must provide staffing at its office during regular business hours and be able to contact service personnel. For times other than regular business hours, the successful bidder must provide the library with a phone number of an answering service or other provider that can contact the successful bidder's service personnel.
