The Illinois Department of Corrections is seeking to rent a graduation ceremony
space for their training academy. The
space must be located in Sangamon or Macon county, IL, have a seating capacity of 450 or more, parking for 100 vehicles, and audiovisual equipment (microphone, large screen, and podium). Quotes are requested for one or more dates in 2025 and 2026, with rehearsal and
event dates specified. Awards will be made per line item to the lowest cost quote for each date. Subcontracting is allowed, with specific requirements for subcontractors with contracts exceeding $100,000. The contract has an initial term commencing upon the last dated signature of the parties and ending on 06302026. The maximum total term of the contract, including the initial term, any renewal terms, and any extensions, will not exceed ten (10) years. The total price of this contract is estimated. Invoices for supplies purchased, services performed, and expenses incurred through June 30 of any year must be submitted to the state no later than July 31 of that year. The contract is contingent upon the availability of funds. The state may terminate or suspend the contract if funding is insufficient. The vendor must comply with all applicable federal, state, and local laws, rules, ordinances, regulations, orders, federal circulars and all license and permit requirements. The vendor must maintain books and records relating to the performance of this contract for a period of three (3) years from the later of the date of final payment under the contract or completion of the contract. If federal funds are used to pay contract costs, the vendor must retain their records for five (5) years. The state may conduct background checks of vendors and subcontractors. Any claim against the state arising out of this contract must be filed exclusively with the Illinois Court of Claims. The state does not waive sovereign immunity by entering into this contract.
