This is a request for quotations for spare parts for generators. Quotations are due by 16:00 CEST on July 17, 2025. The Texas Health and Human Services Commission (HHSC) is seeking bids for parts and labor to replace a failing alternator in a power generation unit. Bidders must submit a comprehensive response including all required information and documentation by July 08, 2025, 10:30 AM Central Time. The awarded vendor will be responsible for retrieving the failing unit, installing the replacement, and testing the generator. The IFB includes detailed specifications, pricing requirements (Exhibit C), and submission instructions (Appendix A). Questions and clarifications must be submitted by July 01, 2025. Additional information may be found in exhibits A, B, C, and D. The contract term begins on the date of award and expires August 31, 2025, with a possible one-year extension. Invoices must be submitted monthly or as otherwise indicated on the purchase order. HHSC reserves the right to reject any or all responses.

The solicitation is for a maintenance contract for generator maintenance and testing. Bidders must be registered in the LAgov system. Responses must be received by 02:00 PM CST on 07/08/2025. A mandatory jobsite visit is required. The contract is for an initial period beginning with the date of award and ending June 30, 2026, and may be renewed for two additional 12-month periods. The contract will be awarded to the lowest responsive and responsible bidder meeting the specifications. The state reserves the right to reject individual line items. Bidders must include a W9 form if newly registered. All attachments must be printed and reviewed. The delivery will be made a number of days after receipt of order. Payment is due within 30 days after receipt of invoice or delivery, whichever is later. The bid must specify the brand and model number of the product offered. Bidders proposing an equivalent brand or model should submit descriptive information. The vendor is responsible for including all applicable taxes in the bid price. All products must be new, never previously used, and the current model and/or packaging. The state has the right to terminate the contract for various reasons, including misrepresentation, fraud, or breach of contract. The state has the right to terminate the contract for convenience by giving 30 days written notice. Failure to deliver within the time specified or to provide the services as specified in the bid will constitute a default.

This tender requires the repair, testing, and inspection of generator sets. The contractor is responsible for supplying all necessary parts and materials, unless otherwise specified as government-furnished. The repair must comply with all applicable drawings, specifications, and quality standards (ISO ****, SAE ****). The contractor must maintain a calibration system meeting ANSI/NCSL ****, ISO ****, or an equivalent program. The contractor must provide a proper enclosed warehouse environment for storage of materials and repaired assets. The contractor must specify the name of the source division and the actual location where the work will be performed. The inspection will be accomplished on the contractor's equipment. The contractor must obtain written concurrence from DCMA for all units determined to be beyond economical repair (BER) or over and above repair (OAR).
