This RFI seeks information from potential suppliers of computerized linen and scrub management equipment. Interested parties must submit responses by July 8, 2025, at 10:00 AM PST, addressing specific questions regarding capabilities, size status, authorized distributors (if applicable), compliance with regulations, lead times, estimated lifespan of solutions, leasing options, and federal supply schedule contracts. Responses will be used for planning purposes only and do not constitute a solicitation.

The tender is for equipment and appliance maintenance, service, and repair in various locations within Sacramento and Yolo County. The contractor must provide services five days a week, excluding holidays, between 7:00 AM and 5:00 PM. Additional time outside these hours will be compensated at a higher rate. Estimates must be provided prior to authorizing any services. Response time to service requests is limited to **** hours, unless an extension is approved. Emergency conditions may require 24-hour service. All work is under a 30-day warranty. The contractor is responsible for maintaining a clean work area and removing all tools and equipment at the end of each workday. The contractor must obtain approval to remove equipment from a location. Damages to state property must be repaired by the contractor. Parts and materials costs are limited to 40% of the contractor's wholesale cost, excluding tax. Freight charges are allowed, but markups are not. The contractor must leave a signed work order indicating arrival and departure times, and a general description of the work performed. The bep vendor or designee must be on-site during service. Used, refurbished, or rebuilt parts are not allowed. The maximum amount that may be charged per job is $2,****, but may be increased with approval. The Department of Rehabilitation may pay applicable sales and use tax imposed by another state.

This is an Invitation for Bid (IFB) for vending machine repair services in LA and Kern counties, California, by the Department of Rehabilitation. Bidders must comply with specific instructions, including minimum qualifications (attachment 1), required licenses and permits (including a business license from the city/county of headquarters), insurance certificates (commercial general liability, automobile liability if applicable, and workers' compensation), and prohibition on tax delinquency.
