The Exeter-West Greenwich Regional School District is seeking bids for athletic field maintenance services, specifically a one-time restorative application. Bids must be submitted through BidNet by June 3, 2026, at 10:00 AM. A mandatory pre-bid walk-through is scheduled for May 28, 2026, at 2:00 PM. Contractors must provide proof of an RI applicator's license and a certificate of insurance with their bid. The bid award will consider factors such as the firm's ability to complete the assignment efficiently, prior experience, and anticipated schedule commitment, in addition to price. The contractor will be responsible for all labor, materials, and equipment, and must comply with all local, state, and federal laws and regulations. The contractor must also ensure the safety of students, employees, and the public. Any damage to school property caused by the contractor's equipment will result in monetary responsibility. The contract duration is for June 2026, with potential for additional unit purchases within 90 days at the same price. Payment will be made after satisfactory completion of services.
The bid proposals must be submitted through BidNet by 10:00 AM on June 03, 2026. Bids received after this time will not be accepted.
The school district agrees to pay for the service upon completion of satisfactory and acceptable services, after presentation of a vendor's invoice.
Whenever, within one year of the final acceptance of the services by the school district, the contractor is notified in writing that any item has proven defective or is not meeting specification requirements, the bidder shall immediately replace, repair or otherwise correct, as the school district may determine, the defect or deficiency without cost to the school district.
The bid award criteria, in no order of priority, include: 1. The firm's ability to complete the assignment as time efficiently as possible. 2. Prior experience, as denoted earlier in specifications. 3. Anticipated schedule commitment. 4. Price.
Each bidder shall present evidence that he/she is normally engaged in the purveying of the type of service on which they are bidding. Each bidder must provide a minimum of two (2) current client references where the athletic fields service contracts were in excess of $10,000 each. In addition, two current letters of client recommendations must be submitted with the bid submission. All proposals shall include, at the time of bid submittal, proof of an appropriate State of RI Applicator's License.
If the vendor fails to start work as required in the time indicated or subsequently agreed to, a credit may be taken in the bid price of $1 per day at the discretion of the director of administration of the Exeter-West Greenwich Regional School District. Nonperformance to the specifications stated in the contract will result in termination of this contract.
A mandatory pre-bid walk-through is scheduled for Thursday, May 28, 2026, at 2:00 PM. All interested bidders must visit the campus and become familiar with the site before bidding.
The school district reserves the right to require any bidder to submit a sample either before or after the awarding of the bid to ascertain whether or not the product will be suitable for the purpose for which it is to be used.
No bid will be considered from any person whose performance on any previous contract with the school district has been unsatisfactory in the opinion of the school district. Under R. I. Gen. Laws ****, all contractors associated with this bid shall undergo a national and state criminal background check. The contractor shall ensure that no person who has any disqualifying information as that term is defined in R. I. Gen. Laws **** shall work on the bid.
