Golf Tee Government Bids & RFPs

Delivery is requested ASAP after notice of award, receipt of purchase order, or authorized calls for delivery. Bidders guaranteed delivery is days. The county reserves the right to reject any bids that propose a lengthy delivery schedule if the items are required promptly.

County terms of payment are 2 10 net 30. Bidder may offer alternate terms. Discount and alternate terms will not be used in award determination.

All items delivered must be guaranteed against faulty materials and workmanship.

Awards may be made by individual item, grouped items or lot. The county reserves the right to reject any or all bids or any portion thereof. Delivery time may be a factor in determining the winning bidder.

The purchasing agent reserves the right before making award to make investigations as to whether or not the items, qualifications or facilities offered by the bidder meet the requirements set forth herein and are sufficient to insure the proper performance in the event of an award. The bidder must be prepared, if requested, to present evidence of experience, ability and financial standing.

Should the vendor fail to perform as required by the specifications, the county may cancel the order and terminate the order/contract. In such event, the county will assume no responsibility for, nor will it reimburse the vendor for any expense or loss to the contractor because of such termination or cancellation. County will then purchase product/service on the open market and charge back the difference to the defaulting vendor.

Samples, when required, must be delivered prior to the bid opening and free of charge. Samples will be returned at bidder's expense and bidder is required to arrange for pick up.

Vendors protesting or disputing bid specifications must do so in writing during the bid opening period prior to the due date to be considered. Such protests must be in the possession of the bureau of purchase and supplies three working days prior to the bids opening.

Failure to complete this bid in its entirety may result in disqualification. Copies obtained from any other source are not considered official documents and will be considered incomplete if missing addenda, if any, resulting in disqualification.

The project must be completed by December 31, 2026.

The city pays invoices on net 30 terms.

Service provider warrants all services performed shall be performed with the highest degree of competence and care. All materials and equipment incorporated into any services shall be new and of the most suitable grade. Service provider warrants all equipment, materials, labor and other services against defects and nonconformances for twelve 12 months from and after final acceptance under the agreement, or the original manufacturer's warranty term, whichever is longer.

Proposals will be evaluated based on understanding of project objectives, methodology, firm capability, assigned personnel, sustainability commitment, and cost/work hours.

The professional must be licensed and certified in the state of Colorado. The contractor must have completed a minimum of 15 landscaping projects on golf courses with a budget of over $50,000 during the past 7 years.

Proposals not submitted by the designated opening date and time will not be accepted. Failure to provide a public viewing copy will be considered a waiver of any claim of confidentiality. Proposals that do not conform to submission requirements may be rejected.

Firms will be evaluated during the prequalification phase to determine whether they meet the minimum requirements for the ability to meet schedule and deliver goods on time qualifications. The City s expectation is that the selected vendor will provide the merchandise and retail goods being sought are industry standard merchandise such as golf balls, tees, gloves, towels, divot tools, hats, clubs, and other basic golf accessories, however, the contract will require access to vendors full product catalogs, recognizing that skus, product offerings, and availability evolve throughout the contract term.

Proposals must be submitted by July 2, 2026, at 2:15 PM. Late proposals will be returned unopened.

Payments will be made by the county after goods and/or services have been rendered and are complete, upon submittal of a complete invoice. If a purchase order is required, it must also be properly completed and submitted with the invoice to ensure payment.

The award will be made to the respondent with the overall best value proposal, considering price analysis, proposal completeness, organizational resources, quality of content management system, demonstrated history of satisfactory service, and implementation roadmap.

Vendors must demonstrate competency in golf management software and implementation services, be legally authorized to conduct business in New York State, possess established administrative and program resources, be eligible for federal and NYS funds, and have proven financial capacity.

Samples, if applicable, may be requested as part of the solicitation or after the opening of bids/RFPs. When requested, they are to be furnished free of expense.

Questions regarding this bid may be directed to the Division of Purchasing and must be received in writing no later than June 23, 2026, at 12:00 PM.

Failure to follow the specified proposal format may be cause for rejection. Proposals received after the submission deadline will be returned unopened. Failure to submit a noncollusion statement will result in disqualification.
