Prices shall remain fixed for 180 days after award, with provisions for price adjustment requests. Successful bidders must accept the district's purchase order or P-card. Purchases are tax-exempt. The district plans to award the bid within 60 days after the bid opening. Communication with district personnel during the proposal process is prohibited. All questions must be submitted by the question deadline. Evaluation criteria include best overall value, references, experience, and sample quality. The district may request quotations for additional print jobs or items not specifically listed.
The response deadline for bids is May 18, 2026, at 02:00 PM CT. Hard copy samples must also be delivered prior to the bid deadline.
The successful bidders must agree to accept the district's purchase order or the district's Visa P-card for work orders. These purchases are tax-exempt.
The bid will be awarded to the most responsive and responsible bidders whose bid is deemed the most advantageous to the district regarding best overall value. This will include but not be limited to product availability, lead times, product quality, references and will not be based solely on price as other factors will be considered.

This bid has hard copy samples required. The samples will be reviewed by district staff for quality and comparison to similar projects the district typically does. At any time during the evaluation process, the district may request more or different samples from bidders that have submitted for this project. Hard copy samples shall be delivered prior to the bid deadline. Bidder must include 2 sets of 5 comparable print samples for evaluation. Samples must be in color, using state of the art software and digital imaging. Bids submitted without delivery of hard copy samples will be considered nonresponsive.
