Electronic PDF bids must be received no later than 10:00 a. m. local Dayton OH time on July 30, 2026.

All cash discount terms will be effective from date of actual receipt and acceptance of the items purchased, or from receipt of correct and acceptable invoice, whichever is later.

Warranty is of prime importance in determining the lowest and best bid. The successful bidder's responsibility to provide for local warranty service for the completed unit.

The city of dayton reserves the right to reject any or all bids, to waive any irregularities in a bid, or to accept the bid or bids which in the judgment of roper officials, is to the best interest of the city.

All vendors must submit a current copy of their W9 with the bid. If you have not registered with the city of dayton, please complete and submit your complete vendor application form. Forms must be on file with the city of dayton before any purchase order or contract can be awarded with your company.

In case of default by the vendor, the city of dayton may procure the items from other sources, and the vendor shall be responsible for any excess costs occasioned thereby.

Failure to comply with these terms may result in bid rejection.

Bids must be received electronically before 3:00 PM CDT on Monday, August 3, 2026.

Payment terms are net forty-five (45) days upon receipt of an acceptable original invoice and after the vehicle is received, inspected and accepted.

Award shall be made to the responsible bidder submitting the lowest responsive bid with regard to the specifications set forth herein. In addition to the quoted price, criteria include adherence to specifications, current leadtime, quoted length of time committed for firm pricing, guarantees and warranties, satisfactory demonstration of equipment, and past experience and service provided by bidder.

The company must not have any unresolved performance issues with the City of Cedar Rapids. The company's performance as a prime contractor or subcontractor in previous city contracts shall be taken into account.

Failure to complete or provide any of the information requested in this request for bid, including references, and/or additional information as indicated, may result in disqualification by reason of non-responsiveness.

Quotations must be submitted before 11:59 PM local time on July 30, 2026. Delivery of the vehicle is expected within **** days after the purchase order is awarded.

Payment shall be made within 30 days of receipt and acceptance of a proper invoice. Invoices should be submitted to the Financial Management Office at the U. S. Embassy, Vientiane.

The vehicle must include a manufacturer's warranty of five years or 110,000 kilometers, whichever comes first. Free scheduled maintenance labor is required for two years or 50,000 kilometers, whichever comes first. A powertrain warranty of five years or 100,000 kilometers is also required.

Contractors must be registered in the System for Award Management (SAM) prior to award if the acquisition is over $40,000. Bidders must provide a copy of their company registration certificate or Unique Entity Identifier (UEI), the vehicle manufacturer's certificate, operation manual, electrical schematic, service manual, and warranty of products.

The document does not explicitly state whether a site visit is mandatory or optional, but it does mention inspection and acceptance of supplies at the delivery point.

Oral quotations will not be accepted, and proposals will not be accepted after the submission deadline. Collusion with other potential offerors regarding price quotations is cautioned against.

The contractor shall deliver all ordered items not later than 180 days after the date of contract award.

Payment shall be made for items accepted by the government that have been delivered to the delivery destinations set forth in this contract. The government will make payment in accordance with the prompt payment act.

A warranty of 3 years or 100,000 km is required for the vehicles.

Award will be made to the lowest priced, acceptable, responsible quoter.

Offerors must demonstrate prior experience with relevant past performance information and references, evidence of operating an established business, detailed product specifications, and evidence of necessary resources.

Incomplete proposals will not be accepted. Quotations submitted after the deadline will not be accepted.
