Written questions are due by April 29, 2025, at 2 PM. Proposals are due by May 13, 2025, at 2 PM. The contract is for non-food supplies for the Saint Paul Public Schools nutrition services. The estimated annual value of the contract is $1,000,000. Delivery must be made to multiple school sites. Vendors must have a HACCP program and be willing to provide a copy to Spps upon request. All deliveries need to be signed off by a person in charge to validate all items were received. Weekly invoicing must arrive at the nutrition services department office no later than three working days following the previous week's delivery. The district reserves the right to negotiate, either independently or cooperatively, with manufacturers for contract prices. The distributor is also responsible to contact brokers or manufacturers to obtain the best proposed price on behalf of the district. The contract vendor is required to keep their product code consistent throughout the term of the contract, and the district needs to be notified at least 14 days in advance of any product code changes. The vendor needs approval of purchasing analyst to add items to order guide. All substitutions of like products must be approved by purchasing analyst prior to shipping. The district has automatic products protection recourse against supplier for products which are misrepresented. Audits may be made at the discretion of district officials at any time. The contract vendor will be required to submit product utilization reports to the district monthly as well as at the end of the contract period. Any contract entered into as a result of this proposal may be cancelled by either party upon 60-day written notice prior to the effective date of cancellation. Cancellation may be in whole or part. The district reserves the right to cancel the contract with cause upon giving a 30-day written notice. All personnel delivering merchandise to the district sites must wear an official picture identification badge issued by the contract vendor. The district reserves the right to request a change in delivery personnel during the contract period. The district will not accept payment terms of less than 35 days. All items must comply with all applicable local, state, and federal laws. Documentation of the country of origin for all products must be included for all ingredients and location that they are being manufactured.
