Rental Truck Government Bids & RFPs

The equipment will be requested between June 20th, 2026, through September 30th, 2026, and must remain continuously onsite and fully available for use by the government for the duration of the rental period following a fourteen 14 day notification and subsequent dropoff.

The vendor will be paid for the total number of days the machine was onsite and available, however, at a minimum, the vendor will be paid for thirty 30 days regardless of whether the actual duration is shorter. For billing purposes, one 1 day is defined as up to ten 10 hours of equipment use within a single 24hour calendar day. The daily rate applies to each calendar day the equipment is fully available onsite. Invoices submitted without verified logs may be subject to payment delays.

Contractor personnel requirements include drivers who must be properly licensed, capable of operating heavy machinery, and capable of communicating in English. Drivers must also be legally allowed to enter and operate a motor vehicle on a military installation and must always carry proper identification. Contractors must be available via cell phone communication during all times of the workday to respond to any maintenance or operations issues associated with the utilization and employment of the MTV, and must be able to respond to such issues inhibiting the utilization of the MTV within a reasonable 24hour window.

The sealed proposals will be received by the Division of Purchasing of the Town of Hempstead until 11:00 AM prevailing time on Thursday, May 21, 2026.

The Town Board to make award, and the bid proposals that is deemed most favorable to the interests of the Town.

Attention veterans: you have certain rights under section 162 of the New York State Finance Law in connection with public contracts for the purchase of commodities or provision of services. Specifically, this law may authorize acceptance of a bid submitted by a qualified veterans workshop provided that the bid shall not exceed the lowest responsible bid by greater than 15. It is incumbent on you to submit all required documentation to the Town, demonstrating your qualification for treatment under that section. You should consult your attorney to determine your qualification for treatment under this provision. Under local law 62. 5 this law may authorize acceptance of a bid submitted by a local veteran-owned business that maintains a place of business in or sells supplies, materials or equipment manufactured in the County of Nassau and submit a bid not to exceed 7. 5 more than the otherwise lowest responsible bidder, and also does not exceed the bid of the otherwise lowest responsible bidder who qualifies for the local nonveteran preference by more than 2. 5. Certification as to the enterprise is required to be by the NYS Office of General Services or US Department of Veterans Affairs.

The bid proposals are due no later than 4:00 PM on June 4, 2026, at the offices of the City of Dublin, Parks and Community Services Department.

The determination of the best quotes shall be based upon, but not limited to, cost, ability, capacity, and skill of the contractor to deliver all requested rental equipment promptly or at the time specified, reputation and experience of the contractor, previous experience of the contractor with the city, and previous and existing compliance by the contractor with laws and ordinances.

The City may conduct interviews with qualified businesses after the proposal submittal date. Submitted proposals will be evaluated and scored based on the qualifications and specific experience of key project team members, quality and completeness of the proposal, experience with engagements of similar scope and complexity, and satisfaction of previous clients.
