Texas Veterans Commission (TVC) is seeking a venue for its 2027 Annual Conference. The venue must provide lodging, meeting space, food/beverage, and AV support for approximately 593 attendees over three days. Proposals are due August 26, 2026. Award will be based on best value, not solely lowest cost. The contract term is through June 30, 2027. Minimum qualifications include experience hosting large conferences and good financial standing. Respondents must provide references and detailed pricing. The event is anticipated between September 15 and December 15, 2027.
Proposals must be received no later than Wednesday, August 26, 2026, 2:00 PM Central Time. Late proposals will not be accepted.
Payment for meeting space, approved meals, and audiovisual services will be made by purchase order. Lodging will be direct billed. Invoices must be complete and final. TVC may withhold payment if the contractor is in breach of contract, services were not performed as required, or invoice documentation is incomplete.
Award will be based on best value to the state of Texas, considering pricing, qualifications, experience, location, operational capability, accessibility, and vendor performance. Award shall be based on best value to the state of Texas and not solely on lowest cost.
Respondents must demonstrate the ability to successfully provide lodging, meeting space, and conference services of similar size and scope. This includes maintaining sufficient qualified personnel, operational capacity, facilities, equipment, and financial resources, and demonstrating experience hosting large-scale conferences.
Failure to periodically check the ESBD for updates, failure to provide required documentation, late responses, unauthorized communication with TVC staff, and failure to acknowledge addenda may result in disqualification.
