The bid opening will occur on Friday, May 9, 2025, at 9:00 AM. The successful contractor will be responsible for providing all labor, materials, tools, and equipment necessary to perform the task. Contractors must furnish proof of workers' compensation and liability coverage (minimum $5,000,000). Additional documents, such as shop drawings, manufacturer certifications, and warranty information, are required. The contractor must secure approval from the building owner's representative for various areas and activities on the site. Safety is the contractor's responsibility, and all personnel must be instructed daily to maintain a safe environment. The approximate area is roughly **** square feet.

Proposals for migrating external and internal websites to a new platform with integrated communications must be submitted by email (time-stamped by the system) no later than May 9, 2025, at 2:00 PM. The bid opening will be held at the SAU106 Central Office on May 9th at 2:30 PM. Bidders must include a statement with school-relevant experience, previous/current school districts served, scope of services, and three school education references with websites showcasing their platform. A written statement of the bidder's warranty policy must also be included. The superintendent may investigate bidder qualifications for up to 30 days after the bid opening. The bidder must comply with all applicable privacy laws, regulations, and industry standards (FERPA, COPPA). The bidder must securely delete all district data upon completion of services or termination of the agreement. The district maintains multiple websites (WordPress, Communications, School Messenger, Mobile Application, Finalsite). The new platform must offer a modern design, mobile application, social media feeds, staff directory, event calendars, secure architecture, role-based access, content management, integrated communication tools, ADA, FERPA, COPPA compliance, site search functionality, data migration, secure areas requiring authentication, and 24/7 support. Bidders must quote for 1, 3, and 5-year contracts. The scope of work includes discovery planning, platform selection implementation, content migration, communications integration, testing, and deployment support. The timeline includes proposal submission deadline, vendor selection notification, project kickoff, and project completion dates.

Proposals must be submitted in a sealed package by 11:00 AM on Friday, May 9, 2025, by US mail, or other delivery service. Faxed and emailed proposals will not be accepted. All proposals must remain in effect until June 30, 2025. A mandatory site walk of all school buildings will take place on April 25, 2025, at 8 am. The Timberlane Regional School District will provide all necessary paint. The winning bidder is responsible for all other painting supplies. Minimum insurance requirements are specified, including workers compensation, employers liability, general liability, and auto liability. Payment and performance bonds are required for projects of $125,000 or more. Respondents must provide a reference list of at least four commercial customers in the area for projects performed and completed. The district reserves the right to reject any or all proposals, accept proposals on one or more items, or negotiate with a respondent if all proposals exceed the budgeted appropriation. The district is not responsible for any costs incurred in responding to this RFP.
