Responses to this IFB must be received by August 12, 2025, 10:30 AM Central Time. An optional onsite visit is scheduled for July 24, 2025, 10:30 AM Central Time. Bidders must submit a comprehensive response including all required information and documentation. The contract is anticipated to start on September 1, 2025. Historical spend for similar services is $240,**** for the period **** to **** are prohibited. Bidders must comply with all applicable laws, statutes, ordinances, rules and regulations, and the orders and decrees of any court or administrative bodies or tribunals. The contractor is responsible for all labor, tools, transportation, equipment, materials, and supplies. The contractor must provide a minimum of three verifiable references for current or previous contracts of the same size and for similar or same services within the last three years. The contractor must maintain required insurance during the contract term. The awarded contract will be effective on the date the contract is issued and will expire on August 31, 2026. Renewal options are available for up to two one-year renewals. The agency reserves the right to change, amend, or modify this IFB prior to the response deadline. Questions and clarifications must be submitted by email to the sole point of contact by the deadline. All addenda will be posted to the esbd. Bidders are responsible for monitoring the esbd for any addenda affecting this IFB. The contractor must provide 24-hour contact information for a minimum of two contractor personnel. The use or possession of any kind of intoxicants or illegal drugs by contractor or any of its subcontractors employees while on duty at hhs agency premises is prohibited. All contractor and subcontractor employees are required to wear company uniforms and identifying badges while providing services in or delivering to hhs agency premises. The contractor shall provide the facility authorized facility representative with all manufacturer warranty documents upon completion of installation and prior to leaving the job site. The contractor shall guarantee all work included in the purchase order against defects in workmanship and shall satisfactorily correct, at no cost to facility, any such defects that become apparent within a period of one year after completion of work. The warranty will commence upon date of completion and acceptance of work. Any warrantable work performed shall continue to be covered under warranty until expiration of warranty by contractor, even if resulting contract is cancelled for any reason. The contractor shall provide priced job estimate for each request to facility authorized representative prior to performing any work, except for emergencies. Contractor is required to obtain the facilities authorization prior to performing any services to building system, which necessitates disruption in the systems serving the facilities except in emergency situations.
Repairs and or replacements shall be completed within five 5 business days of service request. It is the contractors responsibility to provide a temporary replacement of approved material to seal a window in the event a window is damaged, and contractor cannot
repair within twenty-four 24 hours of failure. Contractor shall provide optimum efficiency and safety of window replacement.
Repair services will be on an as-needed basis and shall be available on a twenty-four 24 hour basis. The contractor shall have an active telephone service answered during normal business hours. Normal business hours are between 8 a. m. and 5 p. m. Monday through Friday, unless otherwise stated in the IFB. The contractor must provide the hhs agency contract manager with 24-hour contact information for a minimum of two 2 contractor personnel so the hhs agency may communicate urgent performance issues that require immediate correction or any other issues that may occur.
