Microsoft Government Bids & RFPs

The proposals are due by July 2, 2026, at 2:00 p. m. The contract period is to be determined (TBD).

Bidders must indicate the full guarantees and/or warranties prevailing on all equipment, parts, and labor.

The city considers the subject matter of this proposal to be a professional service. Although economic issues will be considered in the award process, emphasis will also be placed upon the quality of the service offered, experience factors, the competency of the prospective vendor, and outside references.

Qualified vendors must be insured to the city's requirements, experienced and qualified managed services vendors, and certified in Microsoft products administration where appropriate.

Penalties imposed upon the city for late performance shall be the responsibility of the vendor.

All vendors that intend to submit a proposal must perform a site visit with designated City of East Jordan staff prior to submitting a proposal. Failure to complete a site visit may result in disqualification.

Should a bidder find any discrepancies, omissions, ambiguities, or conflicts among the contract documents, or be in doubt about their meaning, they should bring such questions to the attention of the city administrator no later than five (5) business days prior to the date of the receipt of bids.

The bid type is RFQ (Request for Qualifications), which implies the award criterion will be based on qualifications.

The bid is a Request for Qualifications (RFQ), indicating that supplier qualifications will be a key factor.

The contract is expected to be fully executed on or about 25 calendar days after successful bidder qualification and recommendation of award. Substantial completion will be completed no later than to be negotiated.

The university shall pay the contractor within thirty 30 days of receipt of a properly submitted, complete and correct application for payment. Payments to the contractor shall be subject to retainage of ten percent 10% of the cost of work until the work is fifty percent 50% complete.

The contractor unconditionally guarantees the work under this contract to be in conformance with the contract documents and to be and remain free of defects in workmanship and materials for a period of one 1 year or two 2 years from the date of substantial completion, unless a longer guarantee period is stipulated.

The competency and responsibility of bidders will be considered in making the award. The university is not obligated to accept the lowest or any other bids.

Bidders must be available for a bid prequalification meeting. The owner may request each of the three 3 low bidders to submit information necessary to satisfy the owner that the bidder is adequately prepared to fulfill the contract.

If the project is not completed within the time specified in the contract plus any extension of time allowed pursuant thereto, the contractor shall pay as liquidated damages to the owner the sum of **** per day for each day's delay in substantially completing said project beyond the time specified in the contract.

A site visit may be scheduled at the conclusion of the prebid meeting, at the discretion of the project manager. The site visit can be scheduled upon request.

Samples are physical examples furnished by the contractor to illustrate materials, equipment, color, texture, or workmanship, and to establish standards by which the work will be judged. Unless otherwise approved, at least two samples will be submitted for each item requiring samples to be submitted.

Claims must be made within 5 business days after occurrence of the event giving rise to such claim or within 5 days after the claimant first recognizes the condition giving rise to the claim, whichever is later.
