Request for Information ( RFI) for vendor assistance for supplier onboarding process improvement

The State of Tennessee, Department of Finance Administration, is issuing a Request for Information (RFI) to solicit proposals for products and services to improve their supplier onboarding and maintenance processes. The goal is to enhance fraud prevention and process efficiency by mitigating vulnerabilities and improving controls and technologies. The state manages a large volume of supplier records and processes numerous changes annually, making automation and robust verification critical. Key project goals include strengthening fraud prevention, increasing automation, improving data consistency, enhancing supplier self-service, and reducing manual efforts. The project scope includes an AI attendant for the supplier help desk, pilot AI-based document validation and identity verification, and automated bank account verification enhancements, with integration to the state's ERP system. Vendors are invited to respond to one or both components: AI agent or identity and banking verification. The RFI schedule includes an issuance date, vendor questions deadline, state response deadline, and RFI response deadline. Responding to this RFI does not guarantee future contract rights. The state will not pay for response costs. Vendors are requested to provide detailed technical and cost information, including their approach to AI capabilities, identity verification, fraud prevention, automation, integration, data management, security, reporting, implementation, and scalability. Pricing models, pilot cost estimates, and ongoing costs for enterprise-scale deployment are also requested.
The RFI response deadline is 2:00 PM Central Time on March 31, 2026.
Vendors should describe their organizational overview, years in operation, ownership structure, financial stability, core competencies, and experience delivering similar solutions in the public sector or highly regulated industries, including at least 2-3 relevant case studies.
The deadline for vendor written questions and comments is March 4, 2026.
