Bids must be submitted by October 7, 2026 at 5:00 PM. informal bids will be received until 5: 00 pm, october 7, 2026.

Payments are made via ACH direct deposit. successful vendors will be required to receive payments directly through automated clearing house ach in lieu of a paper check.

The bidder shall guarantee the work for one year after acceptance. the bidder shall guarantee the work for a period of one 1 year after date of acceptance in writing by the owner.

The contract is awarded to the lowest responsive and responsible bidder. the contract will be awarded to the responsive and responsible bidder submitting the lowest bid complying with the conditions.

Bidders must submit a prebid disclosure statement with experience record. each bidder shall submit with the bid documents. . . the prebid disclosure statement showing their experience record in performing the type of work.

Failure to execute contract within 10 days results in forfeiture of bid security. shall forfeit to the owner, as liquidated damages. . . the security deposit submitted with the bid.

Bidders should visit the site. each bidder shall visit the site of the proposed work and fully acquaint themselves with the existing conditions.

Questions must be submitted by October 2, 2026. october 2, 2026 last day to submit questions.

Failure to sign the bid or provide required information will disqualify. failure to sign informal bid will disqualify it.

Complete the work within 150 working days from the date the notice of intent to award is issued, as stated: the bidder agrees to complete the work within 150 working days from the date the notice of intent to award is issued.

Bidders must be enrolled in a federal work authorization program, as stated: the bidder has enrolled and is participating in, and will continue to participate in, a federal work authorization program.

Liquidated damages of $700 per working day for late completion, as stated: the sum of 700 for each working day thereafter that the entire work is not substantially complete.

Failure to submit diversity compliance forms may result in rejection, as stated: failure to submit for each diversity category on a separate page may result in rejection of the bid.

All items quoted shall be delivered 8 weeks after vendor receipt of purchase order.

Payment will be made in accordance with terms of payment in the minimum specifications, approximately thirty 30 days from final approvals of receipts and verified invoices.

The bidder further warrants all items for a period of one year, unless otherwise stated, from the date of acceptance of the items delivered and installed or work completed.

The board will award bid on a lump sum basis.

Bids will be accepted only from firms engaged on a fulltime basis in the canopy installation and supply business and must be the manufacturer or the manufacturers authorized sales dealer.

In the event the bidder fails to deliver within a reasonable period of time, as determined by the board, the right is reserved to cancel the award and subsequent purchase order and purchase from the next lowest responsible bidder the items needed.

Bidders will not be required to furnish samples at the time of bid opening, unless specifically called for.

Any protest to the boards consideration of any bid must be submitted in writing and received by the purchasing director no later than five 5 calendar days after awarding date of the bid.

Bidders may be disqualified and rejection of proposals may be recommended for any of but not limited to the following causes: failure to use the bid forms furnished by the board of school commissioners, lack of signature by an authorized representative on the bid form, failure to properly complete the bid form and vendor compliance, default on previous contracts, evidence of collusion among bidders, unauthorized alteration of the bid form.

Firms must show a minimum of five (5) years of experience with projects similar in size, scope, and complexity and provide details for five relevant projects completed within the last ten years.

Firms not following EOI package requirements shall be considered non responsive to the advertisement. Also, contacts made to other dormitory authority personnel regarding this procurement may disqualify the offerer.

The estimated construction cost range is between 6,250,**** and 6,750,****.
