Request for Proposal for vehicle wash maintenance and repair services. Submissions accepted via IonWave or hard copy only. Questions must be submitted via IonWave by August 26, 2026, 5:00 PM CT. Proposals are due by September 2, 2026, 2:00 PM CT. A non-mandatory site walkthrough is scheduled for August 18, 2026, 9:00 AM CT. The contract term is one year with two one-year renewal options. Evaluation criteria include project schedule, compliance with specifications, indicators of probable performance, and price/total cost of ownership. Respondents must have at least three years of experience.
Proposals are due by September 2, 2026, at 2:00 PM CT. The city highly recommends respondents do not wait until minutes before the due date and time to submit proposals, as the submittal process may take significant time.
The city's invoice processing ordinarily requires thirty days after receipt of invoices, materials, or services. It is the intention of the city of Denton to make payment within thirty days after receipt of valid invoices for which items or services have been received unless unusual circumstances arise.
The contractor shall provide a warranty that is standard in the industry. Repair or maintenance of fleet not performed to industry standards shall be accomplished at the contractor's expense, at the option of the city.
Selection is based on a combination of factors: delivery/project schedule (20%), compliance with specifications, quality, reliability, characteristics (30%), indicators of probable performance (20%), and price/total cost of ownership (30%).
Respondents must have at least three years of experience providing similar products or services. They must also be registered in the state of Texas or Denton County to provide the required products or services and possess all necessary state licensure.
The contractor shall incur contractual payment losses for performance that falls short of specified performance standards. A one percent fee will be assessed each month if any one performance standard is not met, and a two percent fee if two or more standards are not met.
A non-mandatory site walkthrough will be available to interested contractors on August 18, 2026, at 9:00 AM CT. Attendance is strongly encouraged. PPE is required.
Respondents must make samples available upon request by the City of Denton prior to award, with no costs to the city.
Protests must be filed in accordance with Article 12 of the Procurement Policy Manual. Protests based on apparent improprieties before the solicitation due date must be filed at least five working days before the due date. In all other cases, protests must be filed within five days of notice of intent to award or prior to the award date.
Disqualification may result from submitting proposals after the due date and time, failing to meet minimum qualifications, attaching terms and conditions not specifically referred to in the solicitation, unauthorized communications with city staff, or failing to disclose required business information.
