Bids are due by 2:00 PM CST on August 17, 2026. Delivery of ordered items shall be within five working days from the date of order.

Payment terms are net 30 after receipt of order.

Every contract shall be awarded to the lowest responsible and responsive bidder, taking into consideration the conformity with the bid proposal specifications and requirements.

Vendors must register with Lafourche Parish Sheriff's Office through vendor access and supply all requested documentation within five days of contact. Bids must be electronically signed by an authorized representative.

Failure to deliver as promised, including shorted deliveries, will be considered a default by the vendor and may cause cancellation of the contract. The Sheriff's Office reserves the right to purchase products on the open market and charge the contractor for excess costs.

The deadline to receive written inquiries is July 24, 2026. The deadline to answer written inquiries is July 31, 2026.

Bids received after the announced deadline shall be returned unopened. Handwritten prices scanned to the bid will not be accepted. Failure to meet the bid opening date and time shall result in rejection of the bid. Failure to download addenda documents may also lead to disqualification.

Bids must be received electronically by June 18, 2026, 3:00 PM. The final book delivery is expected by August 01.

The manufacturers standard published warranty and provisions shall apply, unless more stringent warranties are required. Bidder guarantees products will not infringe upon any valid patent or trademark.

Bids will be evaluated based on responsiveness to specifications, base bid section plus optional prices, and samples, data, and documents representing quality of work and capability.

The university reserves the right to verify contractors qualifications and to request references. Bidders must be capable of performing all required work in their plant.

If books are not received by August 01, the university may deduct $200 from the contract price for each day of delay, as liquidated damages, unless the delay is due to circumstances beyond the printer's control.

A mandatory two-day inspection visit to the plant is required for two persons during the yearbook press run, with allowances to view pages and/or cover in process and to meet with the designer to plan the cover for the following year.

Each bidder should submit three samples of 9 x 12 inch university or college yearbooks printed in their plant in 2019 or 2020.

Failure to meet mandatory bid requirements, submitting bids on other forms, not specifying brand and model number, or not submitting descriptive information may cause bid rejection.

Bids must be received electronically by June 18, 2026, 3:00 PM.

The intent to award this bid on an all-or-none basis to the lowest responsible and responsive bidder will be stated on the bid form.

Bidders shall be a licensed contractor through the Louisiana Contractors Licensing Board for the specialty classification of elevators, dumbwaiters, and escalators. Bidders and their mechanics shall be licensed by the Louisiana Office of State Fire Marshal.

Failure to deliver within the time specified in the bid award will constitute a default and may be cause for contract cancellation. Nicholls State University reserves the right to purchase goods or services on the open market and surcharge the vendor with excess costs.

A mandatory pre-bid meeting will be held on June 4, 2026, at 9:00 AM. Vendors must visit and examine the jobsite to obtain firsthand knowledge of the scope and conditions of the work.

Written inquiries must be received in the Nicholls State University Purchasing Department no later than five (5) calendar days prior to the opening of bids, or by the deadline date stated in this specification.

Failure to meet all mandatory requirements, including submitting bids on the correct form, signing in ink, and providing all requested information, may result in rejection of the bid.
