Bids are requested for vinyl graphics for the Calcasieu Parish Sheriff's Office fleet on an as-needed basis. Bids are due by 10:00 a. m. CST on July 10, 2026. Specifications include material quality, printing standards, and specific dimensions for various graphics. Delivery is required within 3-6 working days of PO issuance, with the delivery address being **** Highway 90 East, Lake Charles, Louisiana **** prices must include delivery. Bidders must comply with all specifications or note any deviations. Orders with a quantity of one must be completed and delivered within 3 working days of PO being issued. Orders of twenty or more must be completed and delivered within 6 working days of PO being issued, with exceptions for weather-related natural disasters or nationally recognized holidays.
Payments on awarded bids will be made upon delivery of equipment, vehicle, material, or supplies in accordance with established payment procedures of the division of finance of the Calcasieu Parish Sheriff's Office.
All customary guarantees for workmanship and replacements of defective parts, as specified by the manufacturer, shall apply. All warranty work is to be done within the boundary of Calcasieu Parish. If warranty work is performed beyond the boundary, transportation costs shall be borne by the successful bidder. Vendors whose authorized repair center is located outside of Calcasieu Parish must reimburse the Calcasieu Parish Sheriff's Office the IRS standard mileage rate for miles driven.
Each bid will be evaluated based upon the proposed product price, specification, product support, performance characteristics, and suitability, in the opinion of the Calcasieu Parish Sheriff's Office, to properly perform the tasks required.
Bids will be accepted only from established manufacturers or their authorized dealers. Bidders must submit the latest cuts and printed literature from the manufacturer on the proposed equipment, vehicle, material, or supplies. Bids will not be accepted unless the firm submitting the bid has an operational factory adequate for and devoted to the manufacturer of the equipment, vehicle, material, or supplies it proposes to supply.
Failure to deliver within the time specified in the bid will constitute a default and may cause cancellation of the contract and/or forfeiture of the bid guaranty. The Sheriff's Office reserves the right to purchase any or all products or services covered by the contract on the open market and to charge the contractor with cost in excess of the contract price.
Questions or inquiries regarding proposal documents or specifications are due within seven 7 days from proposal opening. Inquiries received after this time period will not be answered or addressed.
Bids may be rejected if they show additions not called for, conditional or alternate bids not called for, or for incomplete bids. Failure to submit descriptive information may cause bid to be rejected. Failure to note exceptions on the bid form will not relieve the successful bidders from supplying the actual products requested.
