The Town of East Greenwich is soliciting sealed bids for one autonomous, GPS-guided athletic field line marking robot. Bids are due by 10:00 a. m. on August 5, 2026, and will be opened publicly. The award will be based on the lowest evaluated and responsive bid. Questions must be submitted in writing via email at least seven calendar days prior to the bid opening. The purchase is tax-exempt for Rhode Island sales tax and federal excise tax. Required documentation includes manufacturer specifications, warranty details, references, and service capability descriptions. The robot must be capable of operating on natural turf, with wheeled chassis for stable tracking. GPS/GNSS-based positioning is required, with a preference for systems not requiring cellular data for accuracy. It must have a batteryelectric power source with at least two batteries for workday operation. The paint marking system requires a minimum 5. 5-gallon reservoir and compatibility with multiple paint brands, with a minimum 50% reduction in paint consumption compared to conventional methods. Software includes preloaded, editable field templates and freeform text/logo creation, with continuous updates included. A minimum of one full day of onsite operator training is required. Bidders must price both a standard and a premium service package. Delivery is required within a specified number of days from contract award.

Complete warranty documentation, itemized by major mechanical/electronic components and wear-and-tear items, including duration of coverage for each, must be submitted. The standard service package includes manufacturers standard coverage and a minimum 60-day wear-and-tear parts warranty from delivery. The premium service package offers a minimum 90-day wear-and-tear parts warranty.
Bids will be awarded on the basis of the lowest evaluated and responsive bid. The town will consider total bid price, conformance with or demonstrated equivalency to minimum specifications, documented line-placement accuracy and ease of operation, warranty coverage and terms, delivery timeline, availability and cost of ongoing regional service and support, and references from comparable municipal or institutional customers.
Bidders must be qualified vendors and licensed and in good standing to do business in the state of Rhode Island, or provide a sworn statement that they will become so licensed if awarded the contract. A minimum of three references from comparable municipal, school, or institutional parks and recreation customers currently operating the proposed equipment is required.
Bids received after the stated deadline will not be considered. Bids submitted without required documentation may be deemed nonresponsive. The town reserves the right to reject any bid that fails to demonstrate the performance represented in its submission.
