This is a Request for Proposal (RFP) for general equipment repair and preventative maintenance (PM) services for the Brentwood system. The City of Denton typically requires thirty (30) days for invoice processing after receipt of invoices, materials, or services. Payment processing begins on the date the invoice or items/services are received, whichever is later. Contractors are encouraged to arrange for direct deposit payments.
The contractor shall provide a warranty that is standard in the industry. Repair or maintenance of fleet not performed to industry standards shall be accomplished at the contractor's expense, at the option of the City.
The selection criterion is based on compliance with specifications, quality, reliability, characteristics to meet stated or implied needs (35%), indicators of probable performance under contract (35%), and price, total cost of ownership (30%). The City aims to determine the best value.
Respondents must have at least three years of experience providing similar products or services. They must also be registered with the state of Texas and possess all required licensure. Additionally, vendors must be authorized manufacturers or distributors.
The contractor shall incur contractual payment losses for performance that falls short of specified performance standards. A one percent (1%) fee will be assessed each month if any performance standard is not met, and a two percent (2%) fee if two or more standards are not met.
Respondents must make samples available upon request by the City of Denton prior to award, with no costs to the City.
Protests must be filed not less than five (5) working days before the solicitation due date for alleged improprieties apparent before the due date. In all other cases, protests shall be filed within five (5) days of notice of intent to award or prior to the award date.
Submissions that do not meet minimum qualifications, fail to include required attachments, or have unauthorized communications with city officials may result in disqualification. Failure to disclose litigation or contract defaults can also lead to termination.
