The contract shall commence on March 24, 2026, or upon board approval whichever occurs later, and shall remain in effect until all specified equipment has been satisfactorily delivered.

Payments for goodsservices will be made upon satisfactory completion. Invoices will be reviewed and submitted to the district board for payment approval and are typically paid within thirty 30 days of receipt. Depending on the timing of the next scheduled board meeting and associated agenda deadlines, payment may take up to sixty 60 days to process.

Any resulting contracts from this solicitation will be awarded to the offerors whose overall offer is deemed to be the most advantageous to the district as determined by the evaluation process.

Offerors shall meet the following requirements, as applicable: carry the required amount of insurance stated in section 7. Terms and Conditions. This is optional during the rfp process but is required within 5 business days of contract award and execution. Indicate yes or no. If required by the district, contractor agrees to have background checks obtained at the contractors expense for all workers prior to commencing any work. Indicate yes or no.

The bid states that services not delivered as per the delivery date in the bid and purchase order may result in the bidder being found in default.

The bid states that the successful bidder shall submit an invoice to the county at the prices bid.

The bid states that unless otherwise specified, the bidder agrees that the goods furnished under this bid shall be covered by the most favorable commercial warranty the bidder gives to any customer for comparable goods.

Award will be made based on overall first and second low bid for all items.

The vendor must have been in business under the same FEIN number for the past two 2 years.

Samples of items, when called for, must be furnished free of expense and may, upon request, be returned at the bidders expense.

Any bidder desiring to file a bid protest, with respect to a recommended award of any bid, shall do so by filing a written protest.

The cost of materials will be reimbursed at cost plus a 10 markup.

The bid notice states that all materials to be delivered between March 2, 2026 and March 31, 2026.

The agencies or school districts involved will authorize and process for payment each invoice within thirty 30 days after the date of receipt of a correct invoice.

The successful bidders shall be required to extend any policy guarantee usually offered to the general public, federal, state, county, or municipal governments, on material in this contract against defective material, workmanship, and performance.

New Castle County VoTech School District shall award this contract to the lowest responsible and responsive bidders who best meets the terms and conditions of the bid.

The state will enter into a contract with the successful vendors.

Any exception to this mandatory requirement or failure to submit complete reports, or in the format required, may result in corrective action, up to and including the possible cancellation of the award.

Samples or brochures may be required by the agency for evaluation purposes.

All questions with regard to the interpretation of this invitation must be received in writing by January 19, 2026.
