Bid for a three-year preventive maintenance agreement for laboratory equipment, starting 09/01/2026 to 08/31/2029. Includes annual maintenance and inspection at Westchester County's labs. Service hours are Monday-Friday, 8 am-4 pm. Interim and emergency service calls are included. Bidders must be authorized to repair the specific equipment and may be required to provide proof of manufacturer certification. All labor must be performed by factory-certified personnel. Prices and discounts quoted are for a three-year period. Bidders must sign and return the insurance requirements form to avoid disqualification. Detailed maintenance reports are required. Technical assistance hotline access is necessary. Emergency service requests must be dispatched promptly. Equipment evaluation and repair estimates, as well as loaner equipment, are provided at no additional charge. Repairs are warranted for 30 days. Westchester County can terminate the agreement with 30 days' written notice.
Delivery is requested ASAP after notice of award, receipt of purchase order, or authorized calls for delivery, unless otherwise specified. Bidders guaranteed delivery is days. Note: delivery time may be a factor in determining the winning bidder.
County terms of payment are 2 10 net 30. Bidder may offer alternate terms here: discount and alternate terms will not be used in award determination.
All repairs if required are to be warrantied for 30 days.
All labor shall be performed by factory certified, trained, qualified personnel. Proof of certification may be required requested in award determination.
Should the vendor fail to perform as required by the specifications, the county may cancel the order and terminate the ordercontract. In such event, the county will assume no responsibility for, nor will it reimburse the vendor for any expense or loss to the contractor because of such termination or cancellation.
When required must be delivered prior to the bid opening and free of charge. Samples will be returned at bidders expense and bidder is required to arrange for pick up.
Vendors protesting or disputing bid specifications must do so in writing during the bid opening period prior to the due date to be considered. Such protests must be in the possession of the bureau of purchase and supplies three working days prior to the bids opening.
Failure to complete this bid in its entirety may result in disqualification. Copies obtained from any other source are not considered official documents and will be considered incomplete if missing addenda, if any, resulting in disqualification.
