The bid is for fitness and PTMA equipment for the New Castle County VoTech High School. Bids must be submitted by March 10, 2026, at 3:00 PM local time. The bid includes requirements for a cover letter, bid response paperwork, a noncollusion agreement, business references, an ITB exception form, and a confidential information form. The contract period is valid for one year from March 10, 2026, through March 10, 2027, with the possibility of three additional one-year extensions through negotiation. Prices must remain firm for the contract term and be quoted in U. S. dollars. Bidders must submit two paper copies and one electronic copy on a USB flash drive. The state reserves the right to advertise a supplemental solicitation during the term of the agreement. The successful vendor must provide a usage report monthly. The state requires the successful vendor to have a state of Delaware business license or initiate the application process. The vendor must provide the names and contact information of individuals who can be contacted 24/7 in case of an emergency. Subcontracting is permitted, but all subcontractors must be identified in the bid. The state requires the vendor to comply with the state's Freedom of Information Act (FOIA).
The bid states that the contract period is valid for one year from March 10, 2026, through March 10, 2027, each contract may be renewed for three 3 additional one 1 year extension periods through negotiation between the contractor and new castle county votech school district.
The agencies or school districts involved will authorize and process for payment each invoice within thirty 30 days after the date of receipt of a correct invoice. The contractor or vendor must accept full payment by procurement credit card and/or other electronic means at the states option, without imposing any additional fees, costs or conditions.
The successful bidders shall be required to extend any policy guarantee usually offered to the general public, federal, state, county, or municipal governments, on material in this contract against defective material, workmanship, and performance.
New Castle County VoTech School District shall award this contract to the lowest responsible and responsive bidders who best meets the terms and conditions of the bid. The award will be made on basis of price, product evaluation, and prior history of service and capability.
The response should contain at a minimum the following information: brief vendor cover letter including an applicants experience, if any, providing similar services, one 1 paper copy of the bid response paperwork, one 1 complete, signed and notarized copy of the noncollusion agreement, one 1 completed business reference form, one 1 completed itb exception form, and one 1 completed confidential information form.
Failure to comply with the state of delaware licensing requirements may subject your organization to applicable fines and/or interest penalties.
Samples or brochures may be required by the agency for evaluation purposes. They shall be such as to permit the agency to compare and determine if the item offered complies with the intent of the specifications.
All questions with regard to the interpretation of this invitation must be received in writing by march 2, 2026.
