The Town of Oyster Bay is seeking proposals for Independent Medical Examinations (IME). Proposals are due by December 1, 2025, at 3:00 PM EST. The selected firm will be retained for a one-year period from January 1, 2026, to December 31, 2026, with the option for two additional one-year extensions. Questions must be submitted by email only by November 28, 2025, at 12:00 PM. Payment is made monthly after invoice and claim form submission. The town does not make retainer payments in advance of services rendered.
The response is due by December 1, 2025, at 3:00 p. m. EST.
Payment for services rendered is made on a monthly basis, following submission of an invoice and town claim form, which is subject to review and audit by town personnel.
The quality of the services to be rendered is of paramount importance to the town. However, it is further expressly acknowledged that the cost of the services to be rendered is a substantial concern because the town seeks effective IME services at reasonable rates.
The review process is based on the qualifications of the firm for the nature of the services solicited under this rfp, as guided by the towns procurement policy.
Arrangements may be made to visit and inspect any involved town facilities and/or to view applicable documents.
Proposers must submit three (3) copies of their firms resume, credentials, and representative work sample IME reports.
Any questions must be submitted by email only by November 28, 2025, at 12:00 p. m.
The town makes no representation of the actual value of the work under this rfp.
