Bids must be submitted prior to 3:00 p. m. PT, Monday, July 20, 2026. Delivery of ordered hardware must be within the lead time from the date of order, not exceeding ten 10 work days for items with reorder quantity above zero.

The contractor agrees that all materials furnished shall be free from all inherent defects in design, workmanship and material, and shall give proper and continuous service. The contractor shall immediately repair or replace any materials that prove defective within one 1 year from the date of delivery.

The city intends to award all groups to one supplier based on the lowest evaluated total for all groups. However, bid groups may be awarded separately if in the city's best interest. The city reserves the right to reject any or all bids, or any part thereof. . . and to accept the bid that is in the best interest of the city.

Only manufacturers or contractors of established reputations, or their duly authorized dealers or agents, having proper facilities for the manufacture of the materials or equipment and for servicing same, or for proper execution of the work called for in the specifications, will be considered.

In the event the bidder fails to deliver the material within the time limit, the contractor shall pay liquidated damages to the city at the rate of $30 per day for each calendar day the complete order is received late. The total amount of liquidated damages shall not exceed 10 percent of the net cost of the order.

Bids may not be considered unless the original bid submittal unbound and one exact copy are received, the bid proposal form is signed and spreadsheet attached, the original bid form is signed in ink, and the signature is legible with no initials. Failure to acknowledge any addenda issued may cause the bid to be considered nonresponsive.

Deliveries will begin when the contracting officer issues a signed award document to the vendor. Deliveries must be completed within the delivery date specified, upon award.

The government will award to the responsible businesses whose quote, conforming to the solicitation, is most advantageous to the government based on best value. Best value will be determined by evaluating each quotation for one or more of the following: price, technically acceptable, delivery aro, and past performance.

Awards will be issued to responsible businesses.
