Geothermal Cooling Government Bids & RFPs

The contractor is expected to provide a one-year warranty period for the installed geothermal HVAC unit.

Extensive experience with geothermal systems is essential for installation and to address technical challenges. Proven track record in this field is emphasized for warranty support.

The determination to select advanced mechanical contractors, inc. for the services is based on logical follow on of prior work on the current hvac system and warranty on aspects of the work.

The selected company possesses direct familiarity with the facility's existing systems, building conditions, and operational requirements, which substantially reduces the risk of installation conflicts, extended downtime, and system integration issues.

Bids must be received by 2:00 PM local time on August 20, 2026.

Payments will be made with the Peoplesoft purchase order, receipts, vendor's original invoice, and voucher.

Contractor shall furnish a written guarantee of the products against all defects due to faulty or imperfect workmanship and materials for a period of at least 90 days on all repairs, parts and labor. If the manufacturer's standard warranty is longer, then that shall apply.

Award will be made to the lowest responsive and responsible bidder or bidders whom, by group or by item, meet all of the terms and conditions of the specifications.

Bidders must have adequate vehicles equipped with tools, testing equipment, and repair parts; experienced staff trained and certified; the ability to respond 24/7; and the ability to quickly obtain repair parts and maintain an inventory of commonly needed spare parts. Bidders shall have been in business a minimum of five years performing similar work. Technicians must have three years minimum experience.

Failure to deliver as guaranteed may result in termination of the contract and disqualification from receiving contracts for at least two years.

Attendance at the pre-bid site tour is strongly recommended to understand the scope of the project, but it is not mandatory. This will be the only opportunity to view the sites.

Samples are required to be furnished by the bidder at the request of Otsego County. Samples are to be furnished at no cost to the municipalityies. Samples will be returned only at the cost of the bidder.

Failure to submit the certificate of registration for public work projects may render the bidder nonresponsive and the bid could be disqualified. Failure to deliver as guaranteed may result in termination of the contract and disqualification from receiving contracts for at least two years.

The contractor shall complete all work no later than 90 calendar days after the start date in the notice to proceed.

Requests for payment may be made no more frequently than monthly, covering labor and materials completed and in place. The 14-day payment period is changed to 30 days.

The contractor shall provide a one-year warranty of the works and products.

Award will be made to the lowest priced, acceptable, responsible quoter.

Offerors must be technically qualified and financially responsible, understand English, have an established business, and possess necessary personnel, equipment, and financial resources. Registration in SAM is required for offers over $40,000.

Liquidated damages are reserved. Failure to take corrective action after a stop work order may result in no equitable adjustment to the contract price or performance schedule.

The contractor acknowledges they have satisfied themselves as to the nature of materials and methods of existing construction and obstacles likely to be encountered through inspection of the premises.

The contractor shall submit material specifications and manufacturers certificates or alternative documentation, and be required to submit the factory test report for the HVAC unit prior to installation.

The contractor shall provide prompt written notice within 20 days stating the date, circumstances, and applicable contract clause authorizing an equitable adjustment if they regard an event as a changed condition.

Failure to timely submit required security (performance and payment bonds) may result in rescinding or termination of the contract by the government.
