This is a public tender for hardware supplies from the County of Dutchess. Bidders are required to provide a percentage discount off their list price for all items. Bids must be submitted by June 18, 2026, at 2:00 PM. Deliveries are to be made within 24 hours of order placement for stocking items. The contract term is one year with the option to renew for four additional one-year terms. Bidders must be located within reasonable proximity to Poughkeepsie, Wappingers Falls, and/or Rhinebeck, NY. Invoices must be submitted to the specific agency that initiated the order. Payments will be processed upon submission of a satisfactory invoice. The county encourages electronic payment via ACH. Price adjustments may be requested annually. Questions regarding the bid must be submitted via email by June 5, 2026. All answers to questions will be posted as an addendum on www. ***. *. * must submit one original and one digital copy on a USB drive as a single PDF document.
The awarded vendors shall deliver all stocking items under the terms of these contract specifications within twenty-four (24) hours of order placement.
Payment shall be processed upon submission of a written invoice in a form satisfactory to the county. The county encourages entities with which the county does business to use electronic payment via ACH. Awarded vendors will be requested to receive payments through ACH.
The award of the contract will be made to the lowest priced responsible bidder which has complied with the specifications.
A responsible bidder is a manufacturer, producer, dealer, vendor, or bona fide manufacturers agent who the county determines has demonstrated judgment and integrity, is of good reputation, experienced in his work, whose record of past performance in the trade is established as satisfactory, and whose financial status is such to provide no risk to the county of Dutchess in its contractual relations.
In case of default of the contractor, the county may procure the articles or services from other sources and charge the contractor as liquidated damages any excess cost or damages occasioned thereby.
Samples may be requested by the county for the purpose of product evaluation. It is understood that samples will be provided at no charge to the county by the vendor.
Any protest to the division of central services consideration of any bid must be submitted in writing and received by the director of central services no later than five (5) calendar days after the bid award.
Failure to acknowledge receipt of all amendments may deem the bidder as nonresponsive. Bids submitted in pencil will be rejected as unresponsive. Bids which have been corrected by white out or cross out and have not been initialed and/or dated will be rejected as unresponsive.
